The Senior Director of Managed Payroll and Tax is responsible for overseeing payroll operations for multiple clients, ensuring all payroll activities are executed accurately and on time, and maintaining full compliance with tax regulations at the federal, state, and local levels. This role involves managing a team of Payroll professionals, working with clients across various industries, and ensuring seamless operation of various HRIS systems. The Senior Director will also manage a team of Tax professionals, working with tax registration and tax compliance processes for clients, providing expert oversight to ensure all legal and regulatory requirements are met.
Key Responsibilities | Essential Job Functions:
- Payroll Operations Management: Lead the payroll operations for multiple clients, ensuring the accurate and timely processing of payroll for all client accounts. This includes payroll reconciliations, audits, and issue resolution.
- Client Management: Serve as the primary point of contact for clients regarding payroll and tax issues. Ensure client satisfaction by delivering tailored payroll services, understanding client needs, and managing escalations.
- Tax Compliance & Registration: Ensure clients remain fully compliant with all payroll tax regulations. Oversee the tax registration process for new client locations, managing the compliance process for state, federal, and local jurisdictions.
- Team Leadership & Development: Lead and mentor a team of payroll and tax compliance specialists. Develop performance metrics and goals for the team to meet service levels and ensure high-quality delivery.
- HRIS Systems Expertise: Manage and optimize payroll processes across multiple HRIS platforms such as ADP, Paycor, UKG and Paylocity. Ensure seamless integration of systems and smooth functionality for accurate payroll processing.
- Process Improvement & Efficiency: Implement process improvements to enhance efficiency, accuracy, and compliance in payroll operations. Continuously evaluate and refine internal workflows to increase productivity.
- Strategic Planning: Partner with senior leadership to define and execute on the strategic vision for the Managed Services org, supporting scalability, operational efficiencies, and service excellence.
- Vendor and Software Management: Oversee the relationship with third-party payroll providers and tax compliance vendors, ensuring the company's systems are up-to-date and compliant with regulations.
- Resource Management: Oversee team resourcing, capacity planning, and utilization, ensuring the proper allocation of personnel to meet business and client demands.
- Team Management: Recruit, mentor, and develop a high-performing team of payroll and tax consultants and managers, fostering a culture of excellence and accountability.
- Quality Assurance: Governs adherence to all Quality Assurance deliverables for every client, every payroll cycle.
Example Duties:
- Manage and direct payroll operations for a diverse client portfolio, ensuring deadlines are met for payroll cycles.
- Handle complex payroll issues and escalations, providing solutions and working with clients to resolve any discrepancies or concerns.
- Ensure tax compliance by monitoring changes in regulations and communicating with clients regarding the impact of tax law changes.
- Lead tax registration efforts for clients expanding into new regions, ensuring compliance with local tax authorities.
- Oversee the onboarding and optimization of various HRIS platforms, ensuring system integrity and payroll accuracy.
- Develop and implement strategic payroll and compliance initiatives that align with client needs and company goals.
Additional Responsibilities and Requirements:
- Compliance: Ensure adherence to company policies, local, state, and federal regulations.
- Professional Interaction: Interact tactfully and professionally with clients, internal teams, and third-party vendors.
- Dependability: Maintain a dependable attendance record.
- Other Duties: Perform additional duties as assigned by management to ensure the smooth operation of payroll services.
Qualifications, Education, and Experience:
- Bachelor’s degree in business, Accounting, Human Resources, or a related field; an advanced degree (MBA or similar) is preferred.)
- 10+ years of experience in payroll and tax compliance, with at least 5 years in a leadership role overseeing multiple client accounts.
- Expertise in HRIS platforms such as ADP, Paycor, Paylocity, UKG and other payroll software systems.
- Strong knowledge of federal, state, and local payroll tax regulations.
- Proven ability to manage a team and deliver high-quality payroll services to multiple clients.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
- Strong communication, problem-solving, and organizational skills.
Working Conditions: This is a remote position that requires a professional home office environment with access to secure systems handling sensitive information. The role involves regular virtual meetings with clients, team members, and vendors. High-speed internet and secure equipment are necessary for compliance with company and legal standards. Video conferencing with clients and team members will be essential for engagement and communication.
