WHAT YOU WILL DO:
The Senior Executive Administrative Support Professional will ensure a seamless executive operation, oversee travel logistics, and coordinate with divisional administrative support teams to drive efficiency across the organization. Job duties include:
- Executive Support: Provide comprehensive administrative support to the Executive Leadership Team, including calendar management, meeting coordination, meeting notes for distribution, communication management, and preparation of reports, presentations, other documents, and aiding in addressing follow-up tasks and key action items as required.
- Travel Management: Lead and manage the travel team to coordinate complex travel arrangements, including booking flights, accommodations, transportation, and itineraries, ensuring cost-effectiveness and compliance with company policies.
- Field Divisional Admin Management: Supervisor and mentor the field divisional administrators, providing guidance and assistance to enhance their performance, efficiency, and alignment with organizational goals.
- Corporate Office Administrative Team Management: Lead and direct the Corporate Office Administrative Team, ensuring consistent support across all team members, optimizing team performance, customer satisfaction, compliance, and team performance.
- Meeting and Event Coordination: Organize and manage executive meetings, board meetings, and special events, including scheduling, preparing agendas, coordinating logistics, and distributing materials.
- Communication Liaison: Serve as primary point of contact between the Executive Leadership Team and internal/external stakeholders, ensuring clear, timely, and professional communication.
- Data Management and Reporting: Maintain accurate records, files, and databases, and assist with data collection, analysis, and reporting to support executive decision-making.
- Process Improvement: Identify and implement process improvements to enhance the efficiency of administrative functions and support services.
- Budget Oversight: Assist with budget management for executive, headquarters, and travel-related expenses, ensuring adherence to financial guidelines and policies.
- Project Management: Support special projects and initiatives led by the Executive Leadership Team, providing coordination, tracking progress, and reporting on outcomes as well as administer Board of Directors software program (Diligent) for Board Materials and Private Jet Flights (NetJets).
- Compliance and Confidentiality: Ensure all activities and communications are conducted in accordance with company policies, confidentiality requirements, and legal standards.
YOUR MUST HAVES:
- Must be 18 years of age or older.
- Bachelor’s degree in business administration, management, or a related field, or equivalent work experience.
- 5 or more years of experience in an executive administrative support role, preferably with experience managing teams or coordinating multiple administrative functions.
- Proven ability to manage complex calendars, travel arrangements, and executive communications.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management tools or software.
WHAT WE PREFER YOU HAVE:
- Experience managing travel logistics and coordinating administrative support across multiple locations.
- Experience in project management or process improvement initiatives.
- Professional certifications such as CAP (Certified Administrative Professional) or PMP (Project Management Professional).
- Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, with a professional demeanor and ability to interact effectively with all levels of the organization.
- Ability to manage sensitive and confidential information with discretion and professionalism.
OUR ENVIRONMENT:
This is a hybrid role, partially based at the Corporate Headquarters, combining time in a traditional office setting with remote work from your professional home office. You will be expected to work on-site at minimum three days a week. The position requires sitting for extended periods of time while working on a computer.
