About the Job
A global company is looking for a Senior Executive Assistant to the CEO. The role is hybrid-4 days in office, Fridays remote. Occasionally there will be a need it be in office on Fridays due to the CEO’s needs. The company believes in championing a more equitable world. The CEO travels a lot. The office in CA is new and has a gym in the building and 120 employees. The Senior EA will have a private office next to the President. The President has been in the role for 2.5 years and is driving company transformation and led them to a record year last year.
About the Job:
¨Act as gatekeeper, time-advocate, and liaison for the President
¨Manage the President’s busy calendar using Outlook, scheduling in different time zones
¨Prioritize requests for President’s time
¨Be the point person for team requests and problem-solving, helping to keep the team on track and organized.
¨Schedule and coordinate meetings for President and local/visiting executives, including meeting room set-up, catering, and travel/lodging needs (itineraries)
¨Plan, coordinate, and facilitate various meeting agendas, functions, and events including offsites and leadership Team meetings - assist with the production of materials and pre-reads, taking notes, and tracking action items and keeping Executives updated to keep team on course
¨Manage events within budget
¨Coordinate travel including air and ground transportation, hotel reservations, security, visas and other travel documentation.
¨Prepare and edit correspondence, reports, and presentations
¨Maintains and track manager and team’s project list and goals
¨Handle confidential and sensitive information with discretion
¨Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
¨Process expense reports
¨Limited off-hour availability
About You:
¨Minimum of 7 years of experience in a related support position
¨BA/BS from a college or university a plus
¨Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook) and Concur
¨Project management experience a plus
¨Dynamic and proactive comfortable in a fast-paced environment.
¨Polished, professional demeanor
¨Proactive go-getter; no task is too big or too small
