Senior Executive Assistant to President and Chief Medical Officer - Baylor Scott & White Health

JOB SUMMARY
This role requires that the ideal candidate have exemplary time management skills, attention to detail, and the ability to identify and anticipate the needs of the President and CMO. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Leadership team, Board of Directors, leaders that report to the President and CMO as well as the hospital staff.
ESSENTIAL FUNCTIONS OF THE ROLE
+ Effectively manages the President and Chief Medical Officer's calendars, acting exclusively to routinely schedule appointments and arrange any necessary travel itineraries.
+ Promptly and courteously answers and screens phone calls, responding exclusively when possible or routing calls as appropriate.
+ Coordinates schedules to arrange on and off-site annual, quarterly, and monthly leadership and Hospital Board meetings (i.e. Annual Irving Hospital Board retreat) and other events, notifies all participants in a timely manner and follows-up to verify attendance.
+ Coordinates all necessary arrangements, including digital and hard meeting material to ensure the seamless progress of the event.
+ Takes and transcribes dictation from all Hospital Board Meetings and prepares confidential correspondence, reports and other complex documents accurately and in a timely manner.
+ Accurately compiles and completes reports, statistical data, charts, graphs and tables; reviews and examines reports to resolve appropriate action or refers to management for review.
+ Team player mentality with strong communication and problem-solving skills to collaborate with the other Executive Assistants and leaders for hospital events and meetings.
+ Creates and diligently maintains a variety of confidential files in accordance with established policies and procedures.
KEY SUCCESS FACTORS
+ Five to seven years in an administrative help/executive secretarial position required.
+ Proficient in Microsoft Office Suite, detail oriented, excellent communication, organizational and multi-tasking skills required.
