Turtle is seeking a Senior Manager, Meetings & Events to work out of our Clark, NJ office, remote, and travel to meetings and events on a regular basis.
About the Role
What You’ll Do:
- Develop, plan, manage, and execute Turtle’s myriad of events, incentive programs, meetings, conferences, trade shows, and miscellaneous special projects. Including but not limited to the Circle of Excellence, Sales Summits, AIM Conferences, Board Meetings, Branch-specific events, and special projects as they arise.
- Vendor RFP generation, selection/communication/management, negotiations, billing, and payment
- Oversee all aspects of event financial processes including budget framing/adherence, program reconciliation, and final billing.
- Manage, build, create content of web-based registration systems including reporting and attendee communication.
- Plan and operate all aspects of site inspections.
- Write, coordinate, oversee production of event program documentation, signage, on-site print communication and shipping.
- Manage on-site F&B, room set up, transportation dispatch, hospitality desk staffing, rooming list management, VIP services, production-related vendors, signage placement, room deliveries, etc.
- Hire and manage professional travel directors and event staff.
- Work in tandem with AFS (or other air provider) to manage all aspect of the day-to-day air management and the attendee experience.
- Cooperatively work and support various Turtle departments (i.e., Corporate Communications, Marketing, HR) to bring success and collaboration to projects.
- Support Turtle’s brand-forward merchandise programs such as event gifting, holiday & anniversary gifting, and management of the company store
- Develop and document processes, SOPs, and Best Practices for Meeting & Events Department
- Work with internal Salesforce team to streamline event-management.
- Collaborate with Turtle co-workers to develop trusting and cooperative relationships to ensure that efforts and goals are aligned.
- Mentor and identify new and existing employees interested in meeting and events to grow into a support or management role.
- Ability to assess large and small situations and create solutions to solve problems.
- Meet established KPIs.
- Assess and identify areas to increase ROI.
- Ensure performance of project teams
- Develop and maintain strategic vendor relationships.
- Embody Turtle’s unique brand and culture.
- Demonstrate comprehensive understanding of financial objectives.
- Create budgets.
- Ensure budget accuracy and integrity.
- Precise project reconciliation
What You’ll Bring
- High-level planning and management of Turtle’s myriad of internal and customer events
- Minimum of eight years of all aspects of complex incentive travel programs, high-end corporate meetings, and special event experience at a managerial level.
- Bachelor’s Degree or significant direct experience.
- Expertise of Excel, Word, PowerPoint, and Event Registration software.
- Experience leading teams of individuals to bring projects to fruition.
- Ability to work long hours during events and travel domestically and internationally.
