Position Description:
The Senior Manager of Student Information Systems manages data regarding students and teachers, including state data compliance, internal data management, and various data projects in collaboration with other departments. The Senior Manager of Student Information Systems is responsible for PowerSchool, supporting the setup of master schedules for all campuses and importing and exporting data between Illuminate, PowerSchool, Clever, and other related systems. This position will lead and manage a team that will ensure data accuracy while also training school teams on the policies and procedures necessary to collect and maintain all student information. The position is on the ICEF Public Schools Home Office team and will work closely with school leaders and staff, as well as members of the home office teams.

Salary: $100,000 - $120,000
Supervisory Responsibilities

Essential Functions:
MANAGEMENT OF LOCAL, STATE AND OTHER EXTERNAL COMPLIANCE AND DATA REPORTING
- Coordinate with independent consultants to finalize monthly attendance, including review and preparation of final reports to be submitted (i.e., Classification, Statistical, Period reports)
- Be the point of contact for and maintain a positive relationship with the Los Angeles Unified School District (LAUSD) Attendance & Enrollment Section
- Prepare and submit data reports to applicable local, state, and federal entities, including: Enrollment Count, California Basic Educational Data System (CBEDS), Civil Rights Data Collection (CRDC) Survey, and School Accountability Report Card (SARC)
- Support the management of the team’s email helpdesk and deliver high-quality customer service to stakeholders to resolve data requests
- Identify gaps within student information systems that impact the outputs of the California Longitudinal Pupil Achievement Data System (CALPADS), such as: Course Catalogs, Career Technical Education (CTE), California Statewide Assignment Accountability System (CalSAAS), DataQuest
- Manage and manipulate large amounts of data in Excel and Google Sheets
- Interfacing with local, state, and federal systems to report student data (e.g. monthly attendance, exits, and withdrawals, suspension reports)
- Managing timelines for data submission to ensure preparation and accuracy
- Creating and managing data validation processes, including communication with school leaders to ensure data accuracy
- Coordinating with CALPADS data analysts to ensure the SIS is ready for state reporting (e.g., CTE State Course Codes, incidents, attendance reconciliation)
- Maintaining a working knowledge of current reporting requirements
- Providing status reports regarding our compliance data
PROVIDE WORKFLOW MANAGEMENT AND OVERSIGHT AS WELL AS PROVIDING ONGOING FEEDBACK AND COACHING TO FURTHER PROFESSIONAL DEVELOPMENT
- Directly supervise the Data Analysts
- Provide day-to-day support and technical assistance to Data Analysts and help troubleshoot issues with CALPADS connected to PowerSchool
- Provide skill development to the student information team to support and maximize their efficiency
- Identify gaps in systems connected to PowerSchool (i.e., SchoolMint) and coordinate with the applicable stakeholders to streamline organizational efficiency
- Develop guides to address challenges and provide training to ICEF staff on how to navigate and enter information into PowerSchool
- Be the central point of contact for the team and make decisions that impact workflow management, project distribution, reporting, etc.
- Develop and maintain a central depository of data submissions
- Develop processes to ensure schools are reviewing CALPADS data before certification
POWERSCHOOL MANAGEMENT AND DAY TO DAY OPERATIONS
- Support with the monitoring and management of the data team inbox to ensure requests are fulfilled
- Management of start-of-year and end-of-year processes in our internal PowerSchool student data system, including schedule creation and closing out the school year
- Acting as the point person for PowerSchool questions, including teacher grade books and transcript management
- Importing of state and network academic test scores into student information system
- Assist campuses with answering parent and student questions regarding PowerSchool and parent/student portals
- Communicate with PowerSchool Tech Support as ICEF’s technical contact (open support cases, troubleshooting, submit enhancement requests, etc.)
- Ensuring school data accuracy by conducting data audits and coordinating with schools and home office teams to improve systems supporting data accuracy
- Defining and documenting data collection processes
- Responding to requests for data for analysis purposes
PROVIDE DATA-DRIVEN OPERATIONAL LEADERSHIP
- Designing professional development materials and delivering training to staff
- Clarifying roles and various responsibilities regarding shared responsibilities
- Various projects related to data integrity and systems at the school and district level
MANAGE DIGITAL STUDENT PLATFORMS
- Manage the setup and troubleshooting of all student learning platforms connected through Clever
- Manage and troubleshoot technical issues in the student assessment platform Illuminate
- Manage the setup of new employee accounts in all digital platforms (PowerSchool, Clever, Illuminate, etc.)
- Provide setup support for new online programs that need to be added or changed in Clever
- Provide data setup support for new online programs connected through Clever
OTHER RESPONSIBILITIES
- Additional duties and special projects as needed and assigned in support of ICEF schools
Job Requirements: Minimum Qualifications:
SKILLS, KNOWLEDGE, AND ABILITIES
● Bachelor’s Degree required;
● Three or more years of work experience with PowerSchool (or a similar Student Information System)
● Strong computer skills, especially with Microsoft Excel and Google Sheets;
● Experience with Tableau or analysis tools preferred;
● Familiarity with local and state data platforms preferred;
● Familiarity with CALPADS and CalSASS, especially with secondary and course codes;
● Prior experience as a supervisor
● Excellent organizational and project management skills;
● Strong customer service approach and communication skills;
● Maturity and ability to work independently;
● Passion for the mission of closing the achievement gap;
● A desire to work on a high-performing team and take on additional projects, be creative, and propose new solutions;
● Prior experience working in schools and/or urban communities is preferred

WORKING ENVIRONMENT
Frequent local travel and occasional out-of-town may be required for training, seminars, or workshops. This position will work in a shared office space and will be required to visit the school sites multiple times throughout the year. When out on school sites, the following physical demands may be requested: some lifting, carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, crouching, and/or crawling. Generally, the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under minimal temperature variations and under conditions with some exposure to risk of injury and/or illness.
