Essential duties:
Project Setup/ Management/ Closeout:
- Assist with project setup in the COINS ERP+ system
- Ensure all project information is accurately entered and maintained
- Collaborate with Project Managers to establish and update project budgets
- Adhere to company guidelines for project close-out procedures
- Ensure compliance with lien waiver requirements for each project
- Monitor changes in certified payroll regulations and update internal processes as needed
- Maintain up-to-date knowledge of federal, state, and local prevailing wage requirements
- Attend and contribute to monthly job review meetings
- Maintain professional and technical knowledge through continued education and professional networking
- Prepare, review, and distribute invoices for large and small projects, ensuring accuracy and compliance with contract terms
- Process and manage AIA certified billing applications
- Prepare and update schedule of value documents
- Manage the full billing cycle, including progress billings, change orders, and final invoices
- Ensure accurate sales tax reporting for assigned projects
- Analyze project costs to ensure accuracy for proper billing methods
- Monitor and report on project cost variances
- Assist in implementing operational efficiency within assigned projects
- Develop and distribute Work-In-Progress (WIP) reports to operations
- Prepare monthly billing reports
- Assist in month-end close processes
- Generate and analyze customer profitability reports
Minimum Qualifications:
- High school diploma or equivalent is required.
- 3 years of accounting experience or college equivalent.
- Must be proficient in using email, database, internet, spreadsheet, and word processing applications: specifically Microsoft Office products.
- Bachelors degree in Accounting, Finance, or Business
- Construction industry billing experience.
- Supervision or management experience.
- Time management and prioritizing skills.
- Strong analytical and trouble solving skills.
- Be creative, flexible, adaptable, and possess excellent teamwork skills.
- Works without direct supervision with different personalities and under pressure.
- Good communication skills, written and verbal.
- Excellent customer service skills.
