Service Operations Coordinator

The Service Operations Coordinator will serve as administrative support to the Service and Warehouse Departments by creating and maintaining reports and collecting data. Communicate with various Company departments for the purpose of collecting and/or providing necessary business information.
Duties & Responsibilities:
- Monitor and track lease holds & returns; from pick up to ship back
- Monitor the intake of rental returns-distribute sales inventory report twice monthly
- Monitor equipment availability and communicate this to the sales department
- Track damaged machines; credit, write offs and parts
- Manage and track the loaner process from inception to completion
- Manage and track the escalation process to completion
- Service Support:
- Maintain records on service histories for sales
- Customer surveys-tracking and distribution
- Maintain and provide data to Service Managers for Performance Reviews
- Prepare and distribute performance statistics for the service department.
- Upon request prepare profitability contracts on field machines.
- Be the liaison for the Corporate Fleet Vehicle Plan. Maintain required fleet and driver information.
- Receive and manage parts alerts-high ticket items ordered-forward to RSM for approval.
- Create and distribute designated service reports to the appropriate members of management.
- Follow company policy and safety regulations
- Work overtime if necessary
- Interface with other Company departments as needed
- Project an excellent company image when interacting with outside resources.
- Work closely and receive guidance from Service Managers
- Assume any additional job duties as assigned
- Report to VP of Service & Operations
Qualifications:
- At least 1 to 3 years of Microsoft Office skills - with special emphasis on Excel
- At least 1 to 3 years of previous administrative work experience to meet job requirements
- Must be comfortable and confident using office technology daily, IE: Copiers, printers, fax, and mailing equipment
- Strong computer, text, email, and scanning skills
- High accuracy of processing daily paperwork
- Excellent organizational and time management skills
- Highly self-motivated
- Self-reliant with strong attention to detail
- Excellent interpersonal skills
- Excellent written and verbal communication skills
- Strong analysis and judgment skills
- Must have own transportation to and from work
