Service Writer/Shop Foreman – The Truck Shop, LLC.
Job Summary:
The Service Writer/Shop Foreman plays a critical role in ensuring the smooth operation of the shop by managing the workflow, overseeing repair jobs, and acting as the primary point of contact between customers and technicians. This individual will balance both customer service responsibilities and shop management, ensuring that repairs are completed in a timely and efficient manner while maintaining high levels of customer satisfaction.
Key Responsibilities:
Service Writer Duties:
- Serve as the primary liaison between customers and the repair shop, handling service inquiries, scheduling appointments, and creating work orders.
- Accurately write and input repair orders, outlining detailed job descriptions based on customer needs and vehicle diagnostics.
- Communicate with customers to explain repair needs, costs, and time estimates; provide updates throughout the repair process.
- Ensure all necessary documentation, including parts orders and warranty paperwork, is completed and submitted in a timely manner.
- Maintain a detailed history of customer vehicles and service records to ensure accurate, long-term service tracking.
- Handle billing, invoicing, and payment processing, ensuring accuracy in all transactions.
Shop Foreman Duties:
- Supervise the daily operations of the repair shop, ensuring all technicians are effectively assigned and that work is completed on time.
- Oversee and coordinate all repair and maintenance activities, ensuring adherence to quality and safety standards.
- Perform quality control inspections on completed jobs to ensure they meet the company’s high standards and customer expectations.
- Provide technical support and guidance to technicians, assisting with troubleshooting and complex repairs as needed.
- Monitor and manage the shop's workflow to maximize efficiency, including job prioritization and balancing technician workloads.
- Ensure proper maintenance and calibration of shop tools, equipment, and diagnostic devices.
- Oversee parts inventory and order parts as necessary, maintaining adequate stock levels to support ongoing repair operations.
Qualifications:
- Experience: 3-5 years of experience as a service writer, shop foreman, or in a related role within the heavy truck repair industry.
- Technical Knowledge: Extensive knowledge of heavy truck systems, including diesel engines, brakes, electrical systems, and hydraulics. Familiarity with diagnostic tools and equipment.
- Customer Service Skills: Strong communication and interpersonal skills, with a focus on customer satisfaction and relationship-building.
- Leadership Skills: Experience in managing or leading a team, with strong organizational and problem-solving abilities.
- Computer Skills: Proficiency in service management software, parts ordering systems, and Microsoft Office Suite (Word, Excel, etc.).
- Certifications: ASE certification or similar qualifications in heavy truck repair preferred.
Work Environment:
- Full-time position, typically Monday to Friday, with occasional overtime or weekend work based on shop needs.
- Physical demands may include standing for extended periods, lifting heavy equipment, and working in both indoor and outdoor environments.
