Primary Purpose
Provides day-to-day Office of Talent Management service delivery, undertaking administrative tasks and queries for Human Resources Data Management (HRDM), Occupational Health and Leave Administration from line managers and employees.
Minimum Specifications
Education
- Must have a Bachelor’s degree in Business Administration.
Experience
- Prefer human resources experience or business-related data to include experience working with the PeopleSoft system.
Equivalent Education and/or Experience
- May have an equivalent combination of education and experience to substitute for both the education and the experience requirements.
Certification/Registration/Licensure
- Prefer certification as a Professional in Human Resources (PHR) –OR–
- Certification as a Senior Professional in Human Resources (SPHR) –OR–
- Certification as a Society for Human Resource Management - Certified Professional (SHRM-CP) –OR–
- Certification as a Society for Human Resource Management - Senior Certified professional (SHRM-SCP)
Skills or Special Abilities
- Must have an expert knowledge of human resources records functions and processes.
- Must demonstrate knowledge and ability to effectively use PeopleSoft applications.
- Must have excellent customer services skills.
- Must have a thorough knowledge of personal computers and MS Office software, including Word, Excel, and Power Point.
- Must be detail oriented and have excellent time management skills.
- Must have good verbal and written communication skills.
Responsibilities
- Serves as a resource on PeopleSoft projects that involve the HR Data Management, Leave Management and Occupational Health function. Assists with the implementation, testing and quality assurance, and issue resolution to ensure automated systems include appropriate employee information, data tables are organized effectively, and data can be maintained efficiently.
- Serves as project leader on assigned projects by compiling research, developing reports and working with management to determine appropriate actions. Generates, compiles and reviews status, tracking and productivity reports to ensure the availability of tools needed to evaluate, monitor and respond to the effectiveness of operations. Ensures projects are prioritized appropriately. Provides status reports to ensure management and staff are aware of priorities and project status. Completes assigned phases of a project, as designated.
- Research employee questions and provides accurate information to resolve issues and concerns.
- Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements, and monitors results as appropriate in support of the overall goals of the department and Parkland.
- Administers all aspects of the Disability Payment Administration.
- Maintains positive working relationship with employees by serving as a resource for LOA (Leave of Absence) requests to include: assists employees with absence management requests and guides them through the process; processes all LOA paperwork according to established procedures and laws; communicates with managers regarding LOA situations and provides guidance as needed; and, maintains complete records of all LOA requests/ADA accommodation request and maintains tracking and analysis of data.
- Oversees FMLA processes related to answering questions from employees and managers; coordinating the return-to-work processes for FMLA leaves of absence; and coordinating and maintaining data entry for Disability Payment Administration.
- Inputs and updates employee and non-employee information in the HRIS system to ensure accurate information is maintained for optimal effectiveness for reporting.
- Maintains knowledge of applicable rules, regulations, policies, laws, and guidelines that impact the HR Data Management, Absence Management and Occupational Health areas. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state and private health plans. Seeks advice and guidance as necessary to ensure proper understanding. Ensures changes to employee records are processed in the PeopleSoft system in a timely and accurate manner according to external regulatory, Parkland, and departmental procedures.
- Stays abreast of the latest developments, advancements and trends in HR Data Management, Leave Management and Occupational Health by attending seminars/workshops, reading professional journals and actively participating in professional organizations. Integrates knowledge gained into current work practices.
