About the Job
The Riverside County Sheriff's Office seeks to fill a Sheriff Court Services Assistant I vacancy for Court Services East in Indio . The incumbent will be responsible for performing specialized civil legal clerical support. Tasks include, but are not limited to the following:
- Tracking, preparing, and processing legal documents from court orders for numerous civil legal actions;
- Providing procedural and case information to the public, litigants, law enforcement officials and/or other employees;
- Receiving, examining, filing, and maintaining legal documents;
- Processing claims, invoices, purchase orders, payments, and warrants;
- Reception duties, answering phone calls, and customer service over the counter;
- Heavy data entry responsibilities;
- Other duties as assigned.
Candidates with a typing speed of at least 45 words per minute are strongly desired. Competitive candidates will possess previous legal experience in a court and/or law office environment, as well as experience handling cases such as processing evictions, restraining orders, and wage garnishments.
Sheriff's Court Services Assistant I is the entry level classification in the Sheriff's Court Services Assistant series and reports to a supervisory or manager level position. Incumbents are responsible for learning legal terminology and to prepare, examine and process legal documents in support of Sheriff's Court Services, utilizing journey level clerical skills and limited application of specialized civil legal procedures and processes.
The Sheriff's Court Services Assistant I is a natural progression underfill for the Sheriff's Court Services Assistant II classification. Incumbents are expected to progress to the Sheriff's Court Services Assistant II after satisfactory job performance and meeting the minimum qualifications.

EXAMPLES OF ESSENTIAL DUTIES
• In a learning capacity, process legal documents and records through the Sheriff's Court Services process based on established procedure or special instructions in case files from the courts, judges, or attorneys; examine documents for conformance with established rules, standards, and/or legal requirements.
• Provide the public, litigants, law enforcement officials, and/or other employees procedural and case information, which requires distinguishing among and consideration of sensitive, protected, and public information and requires understanding or interpretation/explanation of legal documents (e.g., subpoenas, evictions, earnings withholding orders, legal/court procedures, or specific file notations regarding case/processing and status).
• Track documents for civil procedures such as evictions, bankruptcies, small claims, summons and complaints, civil and criminal subpoenas, restraining orders, and earnings withholding orders through the civil process for case file building by obtaining signatures and attaching required addenda, ensuring validity and adherence to statutory time limits, answering questions and explaining civil code procedures to litigants and their attorneys.
• Based on court judgments: maintain records for levies on judgment debtor's/defendant's bank accounts, wages or vehicles; process accounts receivable, stock certificates, and real properties; prepare and/or process public notices of sale, bids for sales, notices of attachments, notices of levy, release of levy, notices of modification and termination, notices of bankruptcy, claims of exemptions, opposition to claims, and third party claims to comply with court, litigant, or attorney instruction.
• Compare plaintiffs' and court's documentation to civil code for consistency before execution; disburse monies after prescribed periods; return writs to court after appropriate documentation showing completion of instruction.
• Prepare correspondence and/or legal forms and documents in compliance with written procedural guidelines set forth by the department.
• Make notations to case files and draw the attention of the attorney or litigant to case or procedural detail.
• Maintain case status information and contact with interested parties; notify litigants and/or other involved parties of case disposition.
• Maintain reference materials, records systems, status logs, and/or workload statistics; sort and store information based on alpha, numeric, content, or other classification method; search for and retrieve information stored in manual and/or automated systems; purge files in accordance with established procedure.
MINIMUM QUALIFICATIONS
OPTION I
Experience: One year of clerical experience.
OPTION II
Education: Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial sciences, office practices, business education or a closely-related field to the assignment.
OPTION III
Education: Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, business education or a closely-related field to the assignment.

MISCELLANEOUS RETIREMENT: County of Riverside has three retirement Tiers through the California Public Employees' Retirement System (CalPERS).
- Tier I (Classic Member - Formula 3% @ 60): Applicable to current and former County of Riverside local miscellaneous employees hired prior to 08/24/2012 and did not withdraw CalPERS contributions. The employee contribution is eight (8%) percent.
- Tier II (Classic Member - Formula 2% @ 60): Applicable to local miscellaneous employees 1) hired after 08/23/2012 through 12/31/2012; 2) Previously employed with another CalPERS contracting public agency or a reciprocal retirement system, with a break in service of less than six months between the separation date with the previous employer and the appointment date with the County of Riverside. The employee contribution is seven (7%) percent.
- Tier III (PEPRA New Member - Formula 2% @ 62): Applicable to CalPERS local miscellaneous new members hired on or after the implementation of the Public Employees' Pension Reform Act of 2013 (PEPRA) which took effect January 1, 2013. As of July 1, 2020, the employee contribution is 7.25% and subject to change annually.
A new member is defined as any of the following:
CalPERS refers to all members that do not fit within the definition of a new member as "classic members".
Contribution rates are subject to change based on the County of Riverside annual actuarial valuation.

DEFERRED COMPENSATION: Voluntary employee contribution with a choice between two 457 deferred compensation plan options.
VACATION ACCRUAL (Bi-Weekly Accrual):
0< 3 year = 80 Hours (10 Days)
4< 9 years = 120 Hours (15 Days)
10 or more years = 160 Hours (20 Days)
Maximum Vacation leave accumulation is 480 hours.
SICK LEAVE: Four (4) hours Sick Leave accrual per pay period with unlimited accrual.
HOLIDAYS: Normally 12 paid holidays per year
BEREAVEMENT LEAVE: Allowed 5 days (3 days are County paid; 2 additional days can be taken from accrued Sick Leave balance)
BASIC LIFE INSURANCE: Equal to one times annual base salary not to exceed $50,000 of term life coverage. Premiums are paid by the County. Additional Supplemental Life plan is available for employee purchase.
DISABILITY: Short-term Disability benefit pays up to a maximum of $461.54 weekly, payable up to a maximum of 52 weeks.
POST RETIREMENT MEDICAL CONTRIBUTION: A monthly contribution is made by the County towards retiree health insurance offered through the County as governed by the applicable Memorandum of Understanding.
