Shipping Coordinator

Job Summary: The Shipping Coordinator is responsible for efficiently packing, shipping, wrapping, and labeling all products, including the creation of shipping labels for carriers such as UPS and FedEx. This role also includes receiving and transporting materials and items between buildings, ensuring accuracy and adherence to established shipping protocols. With advanced expertise in logistics, the Shipping Coordinator is instrumental in troubleshooting shipping-related issues and mentoring junior staff, contributing to a streamlined and effective shipping and receiving process.
ESSENTIAL FUNCTIONS:
Shipping:- Prepare and package parts securely to prevent damage during transit.
- Verify that actual quantities and parts match the required quantities and documentation.
- Utilize the ERP system to generate packing slips, create purchase orders, and invoice shipping activities.
- Create accurate shipping labels and select appropriate shipping methods based on customer requirements.
- Collaborate with QA and other departments to maintain the delivery schedule and minimize potential bottlenecks.
- Perform final inspections of products during packing and communicate any quality concerns to production.
- Maintain a clean and organized workspace while adhering to safety protocols and wearing proper PPE.
- Package freight shipments and ship UPS Campus Ship and DHL with limited assistance (Level II).
- Proactively coordinate with QA and other departments to ensure timely shipping (Level II).
- Perform other duties as assigned.
- Accurately receive and verify incoming materials against purchase orders in the ERP system.
- Document the quantity and condition of received goods.
- Deliver received materials to appropriate departments and obtain signatures from recipients.
- Scan packing slips and attach them to purchase orders in the ERP system.
- Maintain accurate records of incoming shipments and manage inventory accordingly.
- Report any discrepancies or issues to the Shipping & Receiving Supervisor.
- Maintain a safe and organized receiving area.
- Perform other duties as assigned.
- Wrap and label parts appropriately to prevent damage during external processing.
- Record accurate counts of parts on the work order and ensure all required documentation is complete.
- Redact customer names on documentation for external transactions.
- Follow established procedures for marking and staging parts for outside processes.
- Ensure compliance with safety protocols while handling materials.
- Perform other duties as assigned.
- Print end-of-day reports for shipping activities and email shipping totals to relevant stakeholders.
- Verify that all scheduled shipments are complete and prepare for the next day’s deliveries.
- Lock the loading dock door and ensure the workspace is clean and organized at the end of the shift.
- Conduct a final review of work orders and ensure all tasks are documented accurately.
- Make a hub run if needed.
- Perform other duties as assigned.
- High School Diploma or GED required.
- Knowledge of how to package manufactured parts for shipping.
- Must possess a valid driver’s license. Experience driving a box truck and ability to obtain medical certification is a plus.
- Experience with UPS and FedEx shipping procedures and forms.
- Ability to lift 50lbs., bend and twist.
- Comfortable working in a fast-paced environment.
- Knowledge of basic computer skills: Microsoft Office Suite.
- 1st Shift work schedule: 5 – 8-hour shifts
- Overtime as necessary
