About the Job
Key Responsibilities:
- Processes incoming and outgoing USPS mail utilizing postage meter/presort mail/certified mail.
- Process incoming shipments including PO's in electronic receiving systems.
- Deliver, pick up and transport material within, between, to and from various locations.
- Procures and Maintains the S & R Departments Standard Operating Procedures.
- Monitors and responds to any Fed Ex or UPS alerts related to mis-shipments or any delivery delays.
- Responsible for Daily Specimen pick-up at FedEx Monday-Friday.
- Maintains regular contact with our Distributor GBF, in order to promote a cohesive workflow.
- Maintains established relationships with Freight Forwarders and Federal Express and/or other shippers to ensure the client is in compliance with all transportation requirements and regulations.
- Follows SOPs for International Shipping protocols and monitors compliance.
- Follows direction from the Senior Manager, Clinical logistics in order to develop and implement inventory control system within S & R.
- Maintains all department Logs including BMT, Asset Tags and Shippers.
- Inventories and maintains all packaging and shipping supplies for the company.
- Packages and processes all client/sales order requests including shippers, lab boxes, bone marrow trays, printers, toner and etc.
- Builds specimen collection shippers as needed or required.
- Coordinates staging area for all outbound packages/envelopes for Federal Express afternoon pickup in Shipping and Receiving area.
- Enters all receivables into data base. Maintains spreadsheets and runs reports as needed or required.
- Handles clerical duties such as photocopying, printing and folding of necessary documentation for the shippers.
- Assists in the daily disposal of shipper box waste.
- Supports other areas within the Logistic Department, as needed or required.
- Separates and labels with recipient, internal office supply orders. Delivering items, as necessary or required.
- Ability to multitask.
- Positive work attitude in a team work environment.
- Other duties as Assigned by the Lead and Senior Manager of Clinical Logistics.
Qualifications:
- Must be able to work flexible hours including evenings and weekends as necessary.
- Valid Driver's License is required.
- Some lifting up to 50 lbs.
- Domestic and International shipping experience - especially related to shipping of biological substances preferred. Experience or have knowledge of UN3373 and UN2209 biological specimen shipments exporting from and importing into the United States, Eastern Europe, Western Europe Countries, Mexico, Australia, Russia, Asia, South America, South Africa or Israel with knowledge of the various country custom agency requirements.
- Training/certifications in Dangerous Goods and/or those related to international shipping. Federal Express Dangerous Goods Certified.
- Minimum of two years experience handling, packing and shipping of dry ice and frozen shipments domestically and internationally.
- Strong verbal and written communication skills, including ability to write SOPs and correspondence.
- Computer skills including MS Office programs, MRP/ERP, Federal Express, UPS computer shipping systems and other programs required for inventory control.
- Ability to interact internally and externally with outside vendors, service providers, and to maintain positive relationships.
- Good analytical capabilities, strong problem-solving skills and ability to work independently with minimal supervision.
- Attention to detail a must, based on the specific requirements of specimen packaging, documentation and assembly of materials destined to clients. Ability to work within operational time constraints.
- While performing the duties of this job, the employee is regularly required to stand, walk, sit and talk or hear. The employee is occasionally required to use hands to finger, handle, write or feel; and reach with hands and arms, possess strong typing and/or input skills. The employee must be able to lift and/or move up to 50 pounds. Visual abilities required by this job include close and distance vision, and ability to adjust focus in order to read and/or write.
- Keyboarding and Windows environment PC Skills.
- Postage meter and electronic receiving system experience is desired.
- Ability to meet employer's attendance policy.
- Two to four years of experience in clinical logistics or related field within the biopharmaceutical, biotechnology, pharmaceutical, research and development or clinical trial industry.
