About the Job
The Special Assistant will support the BPHC's Director of Administration and Finance. The Director oversees the BPHC departments of Property, Finance, Public Safety, Operations and Occupational Health. The Director seeks a Special Assistant to support a variety of projects related to public health issues in Boston, including but not limited to supporting and assisting various projects that are being handled within the various Administration and Finance departments. This position will also oversee and handling all scheduling for the Director of Administration and Finance. The Special Assistant will work directly with members of the Administration and Finance departments to support internal workforce needs. An ideal candidate will have a desire to support BPHC's mission, enjoy working both independently and as part of a team and thrive in roles with multiple tasks and deadlines in a large office environment interacting with different team members.
Duties
* Contribute to project deliverables and communications including writing, formatting, editing or documents; developing report outlines; creating project visuals; and drafting content for reports or presentations.
* Draft memos and correspondence for internal and external stakeholders. Handle all scheduling for the Directror of Administration and Finance
* Assist the Executive Office with set up for larger, Commission wide meetings
* Maintain accurate and up-to-date records of project progress.
* Assist the Director of Administration and Finance with requests for follow up and status inquiries on projects and issues handled by other departments
* Work in a confidential capacity with members of the Executive Office.
* Perform other tasks as assigned, including coordination and tracking of pertinent dates for all lease agreements for BPHC and Boston EMS
* Working to help BPHC become an antiracist organization by meeting or exceeding the standards set by the BPHC Anti-Racism Policy.
* BA/BS degree
* Prior administrative/office support experience with one to three years of experience
* Excellent interpersonal skills and strong teamwork skills, including communicating across different team members to complete project tasks. Commitment to promoting racial equity.
* Knowledge or and experience in public health, behavioral and mental health programming a plus or an interest in learning. Excellent written and verbal skills.
* Must be able to establish and meet priorities in a busy environment. Strong organizational skills.
* Excellent typing and computer skills (MS Office, Word, PowerPoint, Excel) and desire to learn new applications. Experience with design software (I.e., Canva) a plus.
* Passionate commitment to health equity and racial/social justice issues.
* Knowledge of or willingness to learn about the role of public health in addressing racism, the social determinants of health, and inequities in health outcomes as well as strategies to advance racial justice and health equity.
