Job Description

The Special Events Coordinator will create amazing parties and group events for kids and adults. This role plans so our team of Party Hosts can execute the best experience ever from birthday parties to bachelor parties to corporate team-building events. By interacting directly with guests, you can significantly impact the overall guest experience. At Amp Up, we're seeking employees who will take the job very seriously – yet share the fun and enthusiasm of each and every guest.
QUALIFICATIONS
- Detail oriented
- Ability to provide excellent customer service
- Must be able to interact and communicate well with children, parents and fellow crew members
- Strong written communicator with proven strength in grammar and spelling
- Strong verbal communicator with the ability to speak succinctly and project voice in a loud environment
- Ability to ensure safety rules are followed
- Ability to handle large groups
- Ability to engage our guests of all ages in genuine conversations
RESPONSIBILITIES
- Handle inbound and outbound phone calls and emails
- Quote and book parties, events and fundraisers
- Assist in event sales, lead identification and outreach
- Emote a special celebration vibe and maintain positive rapport with guests of all ages
- Finalize contracts, book reservations in system, assist with collection of event deposits and payments
- Ensure all pre-arrival booking procedures are followed, including waivers
- Handle all related paperwork, including Banquet Event Order (BEO) for precise team execution
- Create and maintain Catering This Week sheets
- Pre-order food from the Trackside Café or food supplier
- Manage inventory of event supplies
- Respond to charitable donation requests
- Oversee creation of goodie bags and donation packages
- Quickly intervene if a guest is unhappy to make things right
- Responsible for hosting parties or overseeing party hosts
- Provide facility tours to potential or booked events, as needed
- Ensure cleanliness of party spaces (party rooms, mezzanine, flex space and patio)
- Assist with party hosting, food preparation, serving and other roles
- Available to work 25-35 hours per week
- Ability to work a flexible schedule of days, nights and Saturdays
- Work in noisy, fast paced environment with a positive attitude
- Ability to meet physical demands of walking or standing for up to 100% of the assigned shift
- Custodial duties as requested
- Other duties as assigned

RESPONSIBILITIES
- Work 15-25 hours per week based on semester class schedule and weekly party schedule
- Manage all sales leads with the utmost sense of urgency
- Primary responsibility for handling all inbound and outbound phone calls, Instaply texts, voicemails and emails – both general and sales-related inquiries
- Quote and book parties, events and fundraisers
- Strive to maintain high levels of quality, accuracy, and process consistency
- Assist in event sales, lead identification and outreach
- Emote a special celebration vibe and maintain positive rapport with guests of all ages
- Be open and eager to continuous improvement and learning new skills
- Feel empowered to suggest business improvements to increase sales
- Finalize contracts, book reservations in system, assist with collection of event deposits and payments
- Ensure all pre-arrival booking procedures are followed, including waivers
- Handle all related paperwork, including Banquet Event Order (BEO) for precise team execution
- Create and maintain Catering This Week sheets
- Manage inventory for parties including paper products, wristbands and candles
- Respond to charitable donation requests
- Oversee creation of goodie bags and donation packages
- Quickly intervene if a guest is unhappy to make things right
- Assist GM & Operations Manager with party host scheduling and training
- Provide facility tours to potential or booked events, as needed
- Ensure cleanliness of party spaces (party rooms, mezzanine, flex space and patio)
- Assist with party hosting, food preparation, serving and other roles if needed
- Survey competitors periodically and propose any changes needed to respond to market
- Help cover major events, including full facility rentals and lock ins, to ensure guest satisfaction
- Work in collaboration with operations and other functions within the park
- Proactively strive to maintain high levels of quality, accuracy, and process consistency
- Follow up with large clients to receive feedback and ensure guests’ expectations are met, request online reviews when appropriate
- Work in noisy, fast paced environment with a positive attitude
- Ability to meet physical demands of walking or standing for up to 100% of the assigned shift
- Kitchen (/bar if 21) and custodial duties as requested
- Create regular reports as requested by GM or owners
- Other duties as assigned
Ideal Candidate:
- Pursuing a college education, such as Business, Hospitality and Communications majors
- Preference given to candidates attending a two- or four-year college in St. Louis area
- No experience necessary, on the job training provided
