About the Job
The Special Events and Marketing Coordinator supports the annual program of events and marketing efforts to enhance positive community awareness of and engagement with the Humane Society of Missouri. This role can often serve as a primary point of contact with HSMO, and must possess outstanding customer service skills, the ability to work both independently and as part of a multi-department team and be motivated by our mission: To give animals in need the second chance they deserve.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Supports the Director of Events with the planning, management and activation of a multitude of (15-20) special events, both public-facing and private, throughout the year:
- Establishes professional working relationships with a wide variety of vendors; conducts negotiations for a variety of services ranging from catering and material rentals to researching and securing event sites; works with designers, printers and mail houses; establishes delivery deadlines and follows up to ensure appropriate service; maintains a working relationship with HSMO's established vendors and also researches new ones as needs arise
- May be asked to plan and attend committee meetings, prepare agendas, arrange seating and refreshment, and coordinate AV if necessary
- Serves as the primary contact for Third Party Events:
- Provides required materials and works with Adoption Center to coordinate the transfer of adoptable animals, if requested
- Works with Marketing to coordinate promotion of the event
- Attends event and recruits volunteers, if requested
- Supports the Director of Marketing and Communications with team endeavors that may include but are not limited to social media content creation, media monitoring, off premise events, presentations, marketing promotions and creative brainstorming sessions.
- Coordinates the Humane Society of Missouri's Barn Buddy Sponsorship program-receives and processes orders, manages fulfilment and shipment of Barn Buddy plush toys and sponsorship certificates
- Occasional weekends and evenings are required.
Requirements:
- Bachelor's degree in marketing, communications or related field
- Minimum Two years of experience assisting in the planning and implementation of special events; or equivalent combination of education and experience
- Excellent organization and communication skills-must be able to work with multiple departments within the organization and outside, including donors, committee members, board members, etc. Must maintain a professional appearance and demeanor at all times.
- Basic knowledge of Outlook, Excel, Word and PowerPoint
- Knowledge of design software (e.g. Adobe Illustrator, Photoshop) and/or online design platforms (Canva)
- Ability to be trained in online event ticketing and mobile bidding platforms
- Ability to be trained in eCommerce platform
