Summary
This position will be responsible for a variety of processes and projects for all of Legal & Corporate Affairs (LCA) including but not limited to: Vendor/Budget Management, Records Management, Litigation, Corporate Governance and other areas as assigned. The Specialist must be able to prioritize workflow including the independent management of completing time sensitive complex work and management of ad hoc projects.
Responsibilities
- Vendor and Budget Management: Accountable for all aspects of vendor management within LCA, in compliance with the Company’s Procurement Policy, including but not limited to, acting as point of contact within LCA for vendor management requests/inquiries, establish relationships with suppliers and team members, financial accruals, new vendor onboarding and terminations, setting up new purchase orders, managing purchase orders (increasing/closing), processing of invoices, processing check requests for Legal Affairs, annual law firm retention letters, tracking rate cards, tracking legal spend quarterly, and the monitoring and tracking of vendors for LCA. Responsible for the tracking of the LCA Budget including but not limited to, annual budget preparation, quarterly adjustments (LE process), tracking of spend, preparation of spreadsheets and other documents for annual and quarterly reviews and assist with the yearly audit by external vendor. Frequent contact and coordination with internal lines of business (ex., Procurement, Accounts Payable).
- Records Management: Accountable for all aspects LCA records management. Responsibilities include, but are not limited to: scheduling quarterly Records Management training meetings, sending invitations, tracking attendance, assisting with training, records event days, management of offsite records, maintaining the departmental matrix and other related tasks, as assigned. In addition, the Specialist will provide support of the overall Corporate Records Management Program, as assigned.
- Corporate Governance: Accountable for all aspects Corporate Governance within LCA including but not limited to, scheduling board meetings, distributing, tracking and maintaining accurate records related to board resolutions and other Board related documents, officer and director lists and related lists; meeting minutes and general support to the Corporate Secretary and Assistant Corporate Secretary
- Litigation and Other Projects, as assigned: Provide support to the Litigation and IP groups on litigation matters, support litigation tasks including but not limited to: collecting and preparing documents in response to third party subpoenas and discovery requests; maintaining litigation archives; sending and tracking legal hold communications to new hires, terminated employees and transferred employees/Contingent Workers (as applicable); tracking of e-discovery requests, legal hold questionnaires, legal holds and other litigation related tasks as assigned.

Education Qualifications (from an accredited college or university)
- Bachelor's Degree required or
- High School Diploma with equivalent experience required
Experience Qualifications
- 2 or more years experience working in a corporate legal department or law firm in vendor management, procurement, accounting or related area required
- Paralegal experience preferred
- Experience with vendor management and/or budget management and/or litigation preferred
Licenses and Certifications
- Paralegal certification preferred
