Overview:The PDS Foundation Specialist supports the Pacific Dental Services Foundation Team in the program management functions related to the PDS Foundation Programs (Special Needs, Dental Assistant Scholarship, and International Service) The PDS Foundation Specialist must have exceptional communication skills, be flexible yet thorough, and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment. The incumbent will ensure that the PDS Foundation fulfills its mission of, Improving Overall health by improving oral health through opportunities to serve locally, nationally, and internationally and provide strategies for process improvement. By executing its mission, the PDS Foundation specialists will strive to create opportunities for people to experience true service.
Responsibilities
Manage end-to-end Dental Assistant Scholarship process Oversee application, selection, and award processes, ensuring efficient and timely communication with applicants, reviewers, and scholarship recipients.
Quarterly Awarding Calls Organize and manage four scholarship award cycles per year, coordinating logistics, communications, and documentation for each call.
School & Community Engagement Liaison with local and regional dental assisting schools to promote the scholarship and provide guidance on the application and disbursement process.
Kaleidoscope Scholarship Program Administration Administer and drive the continuous improvement of the Kaleidoscope Scholarship Program platform, optimizing the user experience for applicants and review committee members.
Tracking & Reporting Establish and maintain comprehensive records of all scholarship activities, including application data, award decisions, and impact assessments. Prepare quarterly and annual reports for internal and external stakeholders.
Engage Scholarship Recipients Create community among scholarship recipients through engagement initiatives such as surveys, feedback sessions, and networking opportunities.
Surveys & Feedback Conduct surveys regularly to gather feedback from recipients, identifying needs and areas for improvement in program support and offerings.
Networking & Connection Opportunities Develop and coordinate virtual and in-person discussion forums and mentorship opportunities that allow recipients to connect with peers and professionals in the dental field.
Collaborate with PDS Health Work closely with PDS Health to design and implement community-building and mentorship programs that support scholarship recipients in their academic and professional journeys.
Recipient Engagement Develop initiatives to foster ongoing engagement among scholarship recipients, creating networking and support opportunities that enhance the program's long-term impact.
Impact Communication Assist the Executive Director in connecting donors and school leaders to the scholarship program's impact through regular updates, impact reports, and program highlights.
Volunteer Management Recruit, train, and manage volunteers participating in scholarship application reviews, outreach, and program support.
Collaborate with PDS Health’s We Serve Team for Volunteer Management Coordinate with the We Serve team to manage volunteers who support the scholarship program, ensuring alignment with broader PDS Foundation initiatives.
Reporting and Analytics Collaborate with the IT team to improve reporting capabilities, enabling more effective tracking and analysis of scholarship program data and outcomes.
Funding Research Identify new partner opportunities and work with the Executive Director to develop proposals that align with program goals and the Foundation’s mission.
Data Analysis Track program metrics, analyze data and report on key performance indicators (KPIs) to assess program effectiveness and areas for improvement.
Impact Studies Lead initiatives to assess the long-term impact of the scholarship program on recipients’ career paths, retention rates, and contributions to the dental profession.
Collaboration on Impact Reporting Collaborate with the Executive Director to prepare impact reports for presentation at Board of Directors meetings, providing updates on scholarship outcomes and program advancements.
Continuous Improvement Based on feedback from recipients, applicants, and partner schools, propose and implement improvements to the scholarship process.
Develop and Execute Communication Strategy Establish and continuously improve a communication strategy to increase scholarship application completion rates. This includes creating targeted communications for students and faculty, highlighting program benefits, eligibility requirements, and deadlines.
Outreach Materials Create and distribute materials such as emails, flyers, and presentations to guide students and faculty through the application process, aiming to reduce barriers to submission and increase participation.
Performance Tracking Monitor and evaluate the effectiveness of the communication strategy, adjusting approaches based on feedback and application completion metrics.
Outreach Events with Schools Partner with the University Relations team to support outreach events at dental assisting schools, ensuring students and faculty are aware of the scholarship and encouraged to apply.
Program Visibility and Engagement Collaborate with University Relations to increase the scholarship’s visibility through school events, informational sessions, and outreach activities that enhance application submissions.
Feedback for Improvement Gather and analyze feedback from outreach events to continuously refine engagement strategies and improve program accessibility and relevance for prospective applicants.
Other Internal Collaborations Partner with PDS Health departments that offer operational, governance, compliance, and other internal functions.
Other Duties Performs other duties as assigned by management or the Board of Directors as may be necessary.
Qualifications
Bachelor’s degree in related field. In lieu of degree, 5+ years of experience in related field
Flexibility to work evenings and weekends.
Preferred
Experience in a multi-regional healthcare, retail, or dental company.
Prior experience in a non-profit, higher education or similarly complex organization.
Bachelor’s Degree in Business, Communications, and Sociology.
Professional fundraising certification a plus.
