- Location Requirement: Must be onsite at least 4 days per week.
Qualifications:
- Education: High School Diploma required; bachelor’s degree preferred.
- Experience: Over 10 years of providing administrative support to large organizations, with a proven track record of progression to executive-level support (C-suite, Senior VPs, Directors, General Managers).
- Customer Service: Expertise in delivering exceptional customer service in a professional, high-pressure environment.
- Self-Motivation & Teamwork: Strong ability to work independently and collaboratively within teams; self-motivated, highly organized, and adept at multitasking in fast-paced settings.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, SharePoint).
- Communication Skills: Excellent oral and written communication, including active listening skills.
- Travel & Event Management: Experience managing travel logistics and coordinating events.
- Confidentiality: Ability to maintain discretion and confidentiality in sensitive matters.
- Problem Solving & Creativity: Detail-oriented with a knack for creatively solving problems and ensuring tasks, regardless of how minor, are accomplished at a high level of professionalism.
- Personal Characteristics: Outgoing, adaptable, accountable, and versatile, with a positive, professional demeanor.
Responsibilities:
- Executive Support: Manage calendars and schedules for department leaders, including coordinating across multiple time zones. Provide correspondence, phone, and email management support for C-level executives.
- Team Support: Offer backup assistance to other Administrative Assistants during absences, ensuring continued office operations.
- Office Efficiency: Oversee office operations, including copier/printer maintenance and inventory management to ensure resources are available when needed.
- Onboarding Assistance: Support pre-boarding and onboarding activities for new staff members, helping them integrate smoothly into the organization.
- Conference Room & Facility Management: Coordinate conference room schedules and assist with office equipment and facility-related issues.
- Supply Management: Order office supplies and ensure equipment is in working order. Manage shipping, sorting, and distribution of mail.
- Travel & Expense Coordination: Arrange travel logistics, coordinate expense reports, and track travel-related expenses.
- Meeting & Event Coordination: Organize meetings, special events, and catering for attendees, ensuring smooth execution and logistics.
- Administrative Support: Provide administrative support to other team members and assist with miscellaneous office tasks as needed.
- Proactive Initiative: Anticipate and identify work needs proactively to ensure smooth department operations.
