GENERAL SUMMARY OF POSITION:
Under the direction of the Administrative Manager, the Senior Educational Program Specialist is responsible for independently organizing and coordinating activities relative to the particular program’s participants. The Sr Educational Program Specialist will act as a resource to students, faculty, clinical faculty, sites and school administration in matters or questions relating to the nursing tracks and activities.
Develop, review and deploy innovative marketing and promotional campaigns, initiatives, strategies and content to engage current & prospective students, faculty, staff and community partners. Manage Tan Chingfen Graduate School of Nursing website.
Responsibilities:MAJOR RESPONSIBILITIES:
- Manage administrative day-to- day activities of the major program tracks as they relate to students, in-house faculty, and community preceptors.
- Serve as a first point of contact for inquiries about educational programs.
- Assist faculty with the development of curriculum materials and student resources.
- Assist with course organization and day-to-day operations, technology, and multimedia support to several faculty members teaching multiple GSN courses. Assist course directors in planning and preparing course schedules and confirming participants. Schedule and confirm outside speakers as assigned. Format files to produce student course books and teaching materials, collaborate with course directors, faculty, and other UMCMS departments to provide these materials in electronic formats; web-based, PDF files, downloads, etc. including exams.
- Assist with developing and managing the execution of innovative campaigns to drive prospective students, including marketing material strategies, promotional activities, brand messaging, and third-party promotional products vendor support.
- Ensure consistency of high-quality marketing materials and campaigns for the Tan Chingfen Graduate School of Nursing.
- Write, develop, edit, review, and manage a constant flow of original print, email, audio, visual and video marketing content for Tan Chingfen Graduate School of Nursing. Audience includes current students, prospective students, faculty, staff, community partners and alumni.
- Help streamline and manage the communication messaging across channels throughout the entire enrollment marketing process including advertising, website content, event marketing, digital outreach, drip campaign email messaging, and social media marketing.
- Utilize photography, videography, and audio to enrich and enhance marketing and communications initiatives and maximize content opportunities on website and social media.
- Manage Tan Chingfen Graduate School of Nursing website. Work with the staff in admissions, student life, IT, and academics to maximize engagement and updates of the website.
- Write, edit, and distribute e-newsletter each month to various internal and external audiences.
- Create, manage and maintain a compelling and current presence across Tan Chingfen Graduate School of Nursing social media channels.
- In collaboration with the course directors, organize, produce, and distribute all printed course materials.
- Administrative support of new MS program
- Provide assistance and direction to GSN students.
- Organize and maintain teaching aides that are used in the department.
- Prepare classrooms and labs with both technology and physical set-ups.
- Maintain confidential databases that track data such as student performance, course schedules, faculty, unit evaluations, etc. and report this statistical data to the appropriate parties as assigned.
- Project costs and develop budgets for various program as assigned. Monitor budget and expenses.
- Complete travel arrangements for faculty and process reimbursement requests.
- Reconcile department ProCard account monthly.
- Schedule meetings, reserve rooms for educational activities, and organize other supplementary teaching activities.
- Provide administrative support for lecture, report, and presentation preparation.
- Act as a liaison for guest teaching faculty; schedule and confirm outside speakers as assigned assisting with lecture materials as needed.
- Provide support for GSN Committees as assigned.
- Prepare information and documentation for Oasis.
- Lead small projects in collaboration with course directors as assigned.
- Perform other duties as assigned.
REQUIRED QUALIFICATIONS:
- Bachelor’s degree in business administration, a related field, or equivalent experience
- 5+ years of progressively responsible administrative/management experience, including complex scheduling, budgeting and office management, preferably in an academic setting.
- Experience developing and managing marketing campaigns
- Experience developing, redesigning, and maintaining websites and social media accounts.
- Supervisory experience preferred
- Proficiency in Microsoft applications, data analysis and report generation
- Demonstrated ability to independently manage and coordinate multi-faceted, multi-day programs and projects.
- Strong interpersonal and communication (verbal and written) skills
- Demonstrated abilities in budgeting.
