The Senior Manager of Clinical Materials is responsible for directing all clinical and materials management activities related to Logistical Operations at a delivery network site. Responsibilities include the acquisition and distribution of inventory to the site including the ORs and recovery of equipment at the site and ensures the environment of care is in a constant state of regulatory readiness. This position reports directly to the Director of York Street Logistics and interacts with executive and senior leadership, department directors, managers, outside business customers, and internal customers (clinical and physician staff) across the Health System. This position is responsible for identifying and implementing industry best practices in clinical site logistical management that will support YNHH efforts to be considered a best-in-class class supply chain organization both within and outside the health car industry. External contact includes Group Purchasing Organization, consultants, and vendors.

- 1. Responsible for directing all activities in logistical support of the clinical site and the associated ORs including the acquisition, inventory, storage, distribution and recovery of equipment at the site.

- 7. Position oversight- this position has direct oversight of the Clinical Site Manager and non -clinical site staff. This position partners with the hospital staff, sourcing, IT, Finance and distributor to meet target goals.
- 8. Performance measurement- directs the monitoring and reporting of daily /weekly/monthly supply chain performance including quality and productivity metrics, and ensures appropriate actions are taken.
- 9. Process workflow management in support of hospital's healthcare needs from warehousing to customer service
- 10. Customer service management at the site including hospital administration and clinical staff.
- 11. Supports executive Supply Chain leadership in annual budgeting planning, development of strategic goals/
KPIs. Monitors performance to goals, budget and other strategic objectives. - 12. Responsible for ensuring maximum value that supports optimization of YNHH?s trade partners including its GPO, manufacturers and distributors across all System entities.
- 13. Serves in the emergency management HICS as the site logistician and supply chain subject matter expert
- 14. Leads, facilitates and executes projects to improve Perioperative Services supply organization, inventory, order, receipt, stocking, distribution, tracking and valuation. Provides leadership in meeting goals and objectives. Interacts with OR Management Team across campuses, staff, surgeons, distributors, supply vendors, software vendors, MIS, Purchasing, Contracting, Hospital Materials Management and Internal Auditing. Influences and communicates with all levels of clinical, financial, and operational management concerning team goals and progress. Accomplishes these goals by utilizing EPIC, Q-sight, Terso, Aeroscout, and other information systems to develop supporting integrated clinical, financial, and operational data and reports
- 15. Maintains control of inventory in Yale New Haven Hospital including York St Campus OR storage areas of SPOR, NPOR, WPOR and AMOR. Maintains the integrity of OR item master through the YD05 screens of Lawson for the three business locations of YNHH to populate EPIC 's clinical documentation with regards to pick lists. Works with Supply Chain Analytics (SCA) to ensure that the item master is clean: all items used in the OR have INFOR number, appropriate clinical description, unit of measure, cost, charge codes, supply and implant type
- 16. Designs and utilizes reports to monitor key performance indicators (KPI) to quality measurements and operational goals. Develops materials distribution and utilization analyses that meet users' needs and support YNHH business plan relating to Peri-Operative Services. Provides operational and financial data in a useable format allowing for the identification, analysis and evaluation of alternative strategies to accomplish goals and objectives within the perioperative resource management arena. Proposes technology and service improvements to enhance productivity, quality and customer satisfaction. Drives measurable and sustainable process improvement to eliminate defects
- 17. Ensures compliance with standards of federal, state and local regulatory bodies and commissions in relationship to supply management including JCAHO, Department of Health, Uniform Commercial Code (UCC), OSHA, MOSH and Food and Drug Administration. Ensures that product recalls and other RASMASalerts are addressed and appropriate actions completed in a timely manner. Benchmarks both internal and external business processes to identify best in class processes and bring them into use for OR Materials Management.
EDUCATION
Bachelors degree in business administration, health services or related field or equivalent work experience along with continuous improvement experience.
EXPERIENCE
Procedural leader with experience in all facets of clinical site logistic management including process, clinical and outsourced coordination and process improvement. Five (5) to eight (8) years of progressively responsible experience in supply chain distribution, material handling, OR management and mail distribution programs in healthcare facilities. Five (5) years' experience in leadership roles showing progressively increasing responsibility for the supervision of staff. Experience in supply chain continuous improvement and change management are vital to this role. Experience in operations in a clinical setting, continuous improvement experience and training, and experience developing and utilizing metrics and management techniques to drive improvement. This manager must have experience integrating activities into key supply-chain processes. Strong management experience is required; experience managing a large number of staff.
SPECIAL SKILLS
Comprehensive understanding of logistical clinical site management. Demonstrates high degree of supervisory skills with excellent program management skills. Continuous Improvement skills - will deploy and sustain lean and continuous improvement programs, working in conjunction with supply chain logistics leaders to identify areas of operations where the deployment of continuous improvement methodologies will improve key performance indicators. Good communication and presentation skills at all levels of organization to both internal and external customers. Experienced in facilitating multi-disciplinary groups. Good team building and problem analysis and resolution skills. Self-motivated with good time management skills. Must be goal oriented and flexible. Excellent supervisory skills with solid understanding of principles of empowerment, motivation and staff development. Knowledgeable of technical aspects of Logistical and supply chain operations in a healthcare environment. Able to effectively use MS office products and SmartSheet. Understands the principles of high reliability operations and performance improvement

COMPLEXITY
Responsible for management of large numbers of clinical and non -clinical staff. Responsible for coordination with distributor, clinical teams, logistics staff and hospital administration. Performance improvement as part of change management skills are required as related to service excellence, employee satisfaction, customer satisfaction, etc. Responsible for interacting with hospital management teams, budget processes, and leadership cultures. Responsible for integration of hospital distribution operations through the ROC and ambulatory sites. Can think and operate clearly in chaotic situations characteristic of disaster response incidents.
LICENSURE
Lean Six Sigma certification in continuous improvement preferred.
SPECIAL WORKING CONDITIONS AND PHYSICAL DEMAND
Must be able to travel back and forth between campuses and visit off sites as needed. Must be able to work in summer and winter temperatures as need. Ability to move through an ever expanding campus, primarily on foot . Ability to lift boxes and equipment under 40 lbs. Ability to push or pull wheeled carts and equipment as necessary
