About the Job
The Senior Office Assistant in the Radiation Oncology Department must be able to assist the radiation oncologists, radiation therapists and nurses in transporting/lifting of patients, maintaining the complete health record in the electronic medical record, insurance verification, preauthorization requests, secretarial work, registration of patients, assist with denied work queues and appeals process, and other general duties as requested. In addition, the Senior Office Assistant coordinates activities outside of normal operations including but not limited to Relay For Life, Making Strides, Cancer Survivor�s Day, health fairs, community awareness presentations, etc. This employee may be asked to sit on various committees as directed by the service line team and relay the information to staff as appropriate.
Responsibilities:- (40%)* Performs patient registration responsibilities, including insurance verification, pre-certification and obtaining necessary signatures and authorizations for billing and release of medical information according to established procedure.
- (30%)* Maintains daily schedule and acts as a liaison with other departments and institutions on behalf of physicians and patients; contacts patients for scheduling appointments
- (20%)* Trained in radiation oncology coding and billing practices, assist in completion of denial work queues, and assist with the appeals process.
- (10%)* Performs all office operations including maintain the health information record for radiation oncology, gathering images, typing and clerical duties and obtaining/transferring patient information data.
OTHER DUTIES AND RESPONSIBILITIES:
Acts independently; consistently exercises discretion and judgment in performing work, which is predominantly intellectual and varied in nature Assists in compiling and releasing data for statistical reports.
Monitors incomplete records according to the Medical Staff bylaws and the Medical Center’s Records policies. Assists with Case Review activities for Tumor Conferences.
Assists and coordinates activities such as Relay for Life, Prostate Screening and health fairs that may or may not be held within the department’s normal operations.
Participates in performance improvement activities.
Assists clinical staff in clinical application where necessary or directed.
Contributes to the development of students in the department. Maintains compliance with State and Joint Commission requirements in regard to radiation safety and protection for patients and staff.
Attends scheduled in-services to review policy/procedure and safety measures.
May be asked to rotate to another Radiation Therapy center to cover staff shortages or fluctuations in patient volume.
Effectively operates a computer using MS Office applications such as Word, Excel.
Has a thorough understanding of electronic medical record software and is able to use site specific office management system.
Other duties as assigned.
Certifications and Licensures:BLS: Basic Life Support
Within 1 month of hire or transfer
Required Education:
High school diploma or GED is required

EXPERIENCE, TRAINING AND SKILLS:
A minimum of six months clinical experience in a health care facility.
Must possess general clerical skills and ability to operate standard office equipment, including computer knowledge, i.e. MS Office, Excel, Word, etc.
Demonstrate the ability to effectively communicate with others in person and on the telephone.

Completion of an accredited course in medical terminology or knowledge of medical terminology as normally acquired through a minimum of one year experience in a medical center office setting is preferred.
Radiation oncology revenue cycle course or equivalent billing and coding course within two years of hire or transfer to position preferred.
Prefer experience in a Radiation Oncology Department.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
Overall vision and hearing is necessary with or without assisted device(s).
Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.
Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required.
Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.
Physical Demand Level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
