Overview:TRC is seeking a Senior Project Coordinator to support the delivery of a large commercial energy efficiency program in Oregon and SW Washington. Through the program, we deliver technical assistance and cash incentives to customers in commercial facilities and buildings to help make electric and natural gas energy efficiency upgrades possible.
As our Senior Project Coordinator, you lead the incentive payment process for energy efficiency projects. You independently evaluate applications to determine eligibility to participate in the program. Your experience in energy incentives then allows you to make the final determinations related to incentive distribution. Working closely with key cross-functional team members, including our call center, you communicate program information, including eligibility, to customers and provide guidance on appropriate next steps to participate in the program offerings. Your attention to detail is key to overseeing the quality control of project payments, ensuring customer satisfaction. You manage and track multiple projects in various stages of completion, developing appropriate procedures and directing the team’s workflow to complete projects and pay incentives on time. You provide guidance and mentorship to junior coordinators, helping them learn and gain efficiencies in processes and prioritize projects when needed to meet processing deadlines.

Responsibilities:
- Evaluate applications and determine eligibility for program participation.
- Determine if projects meet the necessary requirements to qualify for cash incentives.
- Determine final eligibility and payment amount for incentive payments.
- Maintain up-to-date knowledge related to program eligibility and offerings.
- Understand energy efficient equipment requirements and communicate these to customers as needed.
- Perform project processing using client’s proprietary software system.
- Conduct quality control reviews/revisions on assigned team members’ projects.
- Prepare project documentation and monitor quality control reports to meet strict weekly project incentive payment deadlines.
- Work closely with subcontractors as needed to coordinate and track the details for multiple on-going projects in various stages.
- Update and maintain accurate data via CRM systems, to include but not limited to: Customer contact information, project details and notes, remaining project tasks, etc.
- Prioritize internal and external communication requests in accordance with project timelines and objectives.
- Communicate anticipated and actual project completion concerns to stakeholders.
- Answer customer and contractor calls and provide program information and eligibility requirements using call center software.
- Provide outstanding customer service, utilizing excellent communication skills and positive attitude to work with detailed requests from customers, client staff, and internal team members.
- Develop process documentation for program updates and offering changes.
- Other duties as assigned.
Minimum Qualifications
- Bachelor’s Degree in Business Administration or related fields
- 3+ years administrative support and/or project management working in energy efficiency field.
- 1+ years’ experience processing incentive rebates
- Ability to lead team members in processing tasks, ensuring project work meets quality standards and meets deadlines.
- Intermediate proficiency in MS Office tools (Outlook, Excel, Word, SharePoint, Teams)
- Ability to understand, interpret, and apply technical information.
- Able to communicate in written and verbal English clearly and effectively.
- Demonstrated ability to manage multiple tasks to meet short turnaround times while adhering to strict quality control standards.
- Experience using a CRM or similar system to track customer and/or project details.
Highly Qualified Candidates will demonstrate:
- Experience coordinating, forecasting, and processing commercial, residential, and/or custom energy efficiency projects.
- Basic knowledge of lighting, HVAC systems and weatherization products.
- Basic knowledge of commercial and multifamily building owners and property management relationship
- Advanced education such as Bachelor’s, or higher degree in Business Management, Business Administration, or related field.
- Bilingual in English and Spanish
- Located in Portland, OR area.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.
Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
