Summary
Manages the entire candidate experience in terms of communicating openings, scheduling, data management, travel arrangements and publishing offer packets for employee and agency temporary workers. The ideal person is energized by enabling a smooth-running recruiting function and has an interest in gaining experience in Recruiting Operations.
Essential Duties and Responsibilities
Job Posting
- Creates and opens requisitions in Greenhouse.
- Ensures automatic posting partnerships operate as expected and implements ad hoc campaigns.
- Oversees how we market our jobs by identifying new job posting options and maintaining our job posting spreadsheet of options.
- Leads weekly updates to agency partners.
Employee Referral Program Management:
- Monitors referred talent in Greenhouse.
- Logs referral on Referral Spreadsheet.
- Sends recognition email to referrer and referee.
- Monitors hires and authorizes referral bonus payments to Greenpoint payroll.
Candidate Interviews
- Ensures an excellent candidate experience through prompt follow up and high-quality scheduling of video and in-person interviews.
- Arranges all travel for out-of-town candidates and oversees candidate travel expense reimbursement.
- Updates Greenhouse and Microsoft Teams regarding interviews and candidate correspondence.
Finalizing Hires
- Creates and records DocuSign for offer letters, agency temporary statements of work and vendor professional statements of work.
- Initiates background checks and DOT drug tests, follows up with the background check vendor and candidate as needed to ensure timely results.
- Ensures compliance by finalizing the hire in Greenhouse, completes and archives recruitment files, and confirms each position in Greenhouse has correct EEO classification.
- Completes OFCCP Checklist for each hire and partners with colleagues to ensure compliance.
- Maintains confidentiality and security of sensitive information and files.
Resource Management
- Updates Microsoft Dynamics 365 with agency temporary and vendor professional assignment details for onboarding and offboarding talent. Notifies Greenpoint assignment manager when end date is 60 days away.
- Collects assignment feedback from Greenpoint assignment manager and enters in Microsoft Dynamics.
Other
- Recruiting operations special projects.
- Maintains regular attendance including being at work, being on time to work and working full shifts.
- Other duties as assigned.

Summary of Education, Experience & Certification
Bachelor's Degree and at least three years of recruiting coordination experience preferred or equivalent combination of education and experience.
Employees working on programs subject to International Traffic in Arms Regulations must qualify as a US Person which is defined as a US Citizen, a Permanent Resident who does not work for a foreign company/foreign government/foreign governmental agency or organization, or a political asylee for legal compliance purposes.

- Backup for HR Coordination colleague and cross-trains them to do the same for you.
- Experience with Microsoft Suite, Applicant Tracking Systems and a strong preference for Greenhouse experience.
- Ability to sit for extended periods of time, use hands to lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds, and have close/color vision ability to adjust focus.
The estimated pay range is $30.00- $40.00 per hour.
This is a temporary position thorough an agency, with an estimated length of one year.
