About the Job
The Staff Assistant II-Office of Field Experiences (OFE) position will perform a variety of administrative support duties for the Directors of the Office of Field Experiences in the School of Teacher Education and Leadership (TEAL) department in the College of Education and Human Services.
Responsibilities:- Ensures excellent order and function of the Office of Field Experiences by performing office duties, including greeting and directing visitors, answering phones, directing calls to appropriate parties, data entry, filing, copying, mail distribution, appointment scheduling, and other general duties as assigned.
- Act as receptionist; corresponding with student teachers, supervisors, mentor teachers and others via Outlook, phone and face-to-face. Manages department Outlook email accounts.
- Creates/maintains records and databases using Excel spreadsheets and Egrad.
- Updates documents on the Office of Field Experiences webpage.
- Provides technical support for meetings in conference room.
- Receives and electronically files documents, including evaluations using Qualtrics, Egrad and Box.
- Maintains records for supervisor and mentor teacher honorarium payments and works with Business Services to ensure proper payment amounts.
- Supports clinical placements under the direction of the Assistant Director.
- Assists Directors in preparing and communicating placements, pool forms and other correspondence to school Principals, mentor teachers, supervisors and students.
- Assists with student teaching orientation materials and presentations as needed.
- Represent the interest of the Office of Field Experiences with other offices, both inside and outside of the School of Teacher Education and Leadership.
Minimum Qualifications:
- Two years of experience of office related work experience or an equivalent combination of education and experience.
Preferred Qualifications:
- Familiarity with campus policies and procedures
- Familiarity with Banner and Egrad.
Knowledge, Skills, and Abilities:
- Skilled with computers and related software (Microsoft Excel, Work, PowerPoint Outlook).
- Accurate keyboarding and data entry with excellent spelling and editing skills.
- Skilled with basic office equipment, including printers, copiers, and telephone systems.
- Strong organizational skills.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential business data and personal information.
- Ability to work without supervision.
- Knowledge of University policies and procedures.
- Excellent customer service skills.
