The Case Management Coordinator ensures compliance with all established processes and procedures such as monthly accruals for the finance department, transportation expense reports, processing expense allocations, System Case Management (SCM) spend report of current month, year to date (YTD) vs previous year. Compiles and maintains data/documentation to ensure availability of complete, accurate up-to-date information. Composes, reviews, and prepares correspondences and presentations accurately and in a timely manner. This position provides administrative support for the leader to include supporting departmental oversight and with related projects.
Job Responsibilities
- Ensures compliance with all established processes and procedures such as monthly accruals, transportation expense reports, and processing expense allocations.
- Participates in process improvement efforts and continuously brainstorms to improve processes to more effectively; Assists in the preparation of annual budget preparations while monitoring expenses.
- Completes monthly report consisting of System Case Management (SCM) spend of the current month and year YTD vs the same time of the previous year and send to accountant for Inova System Office Administration.
- Acts as liaison for the finance department in reference to System Case Management expenses; Designs, formats and showcases presentations/documents using intermediate and advanced features of Microsoft Office applications (Word, Excel, Power Point).
- Researches invoices that vendors request status updates on. If there is not any information in Oracle, reach out to AP and communicate responses to the vendor.
- Serves as gatekeeper by screening new vendor interested in partnerships.
- Provides support to the leadership and assists with all leadership related projects; Monitors monthly system expense data in conjunction with Department Leader.
- Maintains all accounts receivable/payable functions for the system department to ensure timely payments; Maintains records of all System Case Management files and acts as system liaison to all external vendors; Assists in monitoring the operational budget, in collaboration with department Director, related to funds disbursement and reconciliation.
- Performs other duties as assigned.
Additional Requirements
Years of Experience: 4 years of professional, administrative experience
Education: Bachelor's or HS Diploma/GED and 4 years of experience in addition to Experience requirement
