The University Advancement division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 135 FTE. Functional units within Advancement include development/fundraising, alumni relations, stewardship and donor relations, advancement communications, special events, gift processing, research, prospect management, gift planning, corporate and foundation relations, information systems and management, and infrastructure services.
Advancement's mission is to build strong, lifelong relationships with George Mason University's constituents, match donors' interests with the university's needs and priorities, and secure the financial resources necessary for Mason to achieve excellence in teaching, research, and scholarship.
About the Position:
The Strategic Advancement Systems (SAS) Coordinator position assists the Associate Director of SAS, by supporting staff using our digital engagement platform, Anthology Encompass (Anthology). The position supports end users in advancing the University's fundraising and engagement initiatives via Anthology for email marketing, event registration, alumni community membership, online giving, and web content. The SAS Coordinator is tasked with coordinating various areas of site functionality, including content, design, database management, training, project management, and technical oversight. The SAS Coordinator helps to foster the adoption and implementation of current and new strategic advancement systems and processes.

Responsibilities:
Coordinates with Associate Director, SAS in planning, scheduling, and implementing the use of Anthology while supporting Advancement units with their digital engagement needs
Coordinates projects for digital engagement platforms
Data Analysis and Reporting
Collaborates with Advancement IT to ensure physical security of Strategic Advancement Systems in accordance with federal, state, and university guidelines. Oversees the data governance procedures for maintaining data security by users and vendors and the Anthology access process for non-standard employees

Responsibilities:
Coordinates with Associate Director, SAS in planning, scheduling, and implementing the use of Anthology while supporting Advancement units with their digital engagement needs
- Provides customer engagement support to Advancement units across George Mason campuses by building event detail webpages, event registration forms, mass email communications, and online giving pages;
- Provides technical support as needed;
- Uses SAS platforms (Anthology, Advancement CRM-Salesforce Affinaquest (Salesforce), MicroStrategy, Monday.com, Microsoft Office, et al) to assist in meeting strategic goals across the division;
- Assists in implementing strategies to optimize user satisfaction and engagement;
- Works with the team members to assess product experience and supports in defining major goals and next steps;
- Collaborates on best practices for data updates between Salesforce and Anthology;
- Reviews data for discrepancies and researches solutions to reconcile differences; and
- Provides regular training on Anthology functionalities such as building events and email communications.
Coordinates projects for digital engagement platforms
- As needed, troubleshoots technical issues for internal staff as well as units, and works with vendors to ensure timely resolutions;
- Assists Associate Director, SAS in identifying and testing software to unify and streamline business operations;
- Provides intermittent support to units in building event, emails and webpages using Anthology digital engagement platform technology;
- Develops timelines for deliverables needed from units;
- Communicates project deadlines to stakeholders and guides progress towards stated goals;
- Coordinates with Associate Director, SAS to lead cross-functional teams to execute project activities and maximize the use of digital engagement systems and technology; and
- Trains and develops Anthology digital engagement platform subject matter experts across Advancement to empower schools/units to contribute to their digital engagement activities and email communications to increase system usage, proficiency and relevancy.
Data Analysis and Reporting
- Guides units in best practices in tracking results of email solicitations, fundraising campaigns, and other digital engagements;
- Coordinates with SAS team to meet, analyze, and report on metrics as described in the SAS Strategic Plan;
- Participates in creating project plans/meetings and defining and tracking deliverables and milestones; and
- Develops and generates reports within Anthology, Salesforce and MicroStrategy, as needed.
Collaborates with Advancement IT to ensure physical security of Strategic Advancement Systems in accordance with federal, state, and university guidelines. Oversees the data governance procedures for maintaining data security by users and vendors and the Anthology access process for non-standard employees
- Develops short-term and long-range strategies, in coordination with supervisor, while adhering to existing Data Security and Management Policy guidelines;
- Regularly monitors and audits data to ensure it is accurate, consistent, and reliable;
- Stays informed about industry best practices and regulatory requirements related to data management;
- Collaborates with unit leads to understand specific needs and nuances of each job function and provides appropriate access levels;
- Assists in managing the data governance process, information sharing and use agreement, and digital engagement access;
- Oversees the initiation, tracking, and management of annual security forms;
- Coordinates with other SAS teams and Advancement HR as necessary to track and manage new hire security forms; and
- Provides quality service by establishing and applying organization standards.

Required Qualifications:
- Demonstrated customer service experience;
- Experience communicating technical concepts;
- Experience coordinating projects;
- Experience coordinating with diverse groups of stakeholders;
- Experience with basic data analysis and reporting utilizing Microsoft Excel;
- Working knowledge of Microsoft Office tools (Excel, Word, Power Point, Outlook, etc.);
- Demonstrated attention to detail and strong organizational skills;
- Demonstrated excellent verbal, communication, and customer service skills;
- Skills in problem solving and critical thinking;
- Skills in project management;
- Ability to work collaboratively with cross-functional teams;
- Ability to manage multiple projects simultaneously and shift priorities quickly in a fast-paced environment;
- Ability to multi-task, take ownership of project tasks/activities, and efficiently meet deadlines under pressure; and
- Ability to be a self-starter.
Preferred Qualifications:
- Bachelor's degree in related field;
- Experience working with database interactions;
- Experience with Salesforce;
- Troubleshooting and resolving technical issues in a digital engagement platform;
- Experience with Anthology or other digital engagement management software;
- Experience in higher education fundraising operations;
- Experience with HTML;
- Skilled in the use of digital engagement platforms (for example, Anthology);
- Ability to learn and understand fundraising and donor relations systems and technology, principles, techniques, procedures, and practices; and
- Effective training and presentation skills.
