Position Summary
With limited supervision, supervises the departmental areas of chart processing, chart completion, record imaging and release of information to maintain accurate, efficient and prompt performance of department duties. Maintain and protect records and confidentiality of patient information in the highest quality and according to all regulatory standards. In addition, possess a working knowledge of the support staff’s daily tasks.
Core Duties and Responsibilities
• Supervises the daily activities of HIMS processing and release of information teams.
• Supervises, trains, coordinates and assigns tasks for each area of responsibility and reassigns duties as needed.
• Monitors employee performance and recommends employee selection, conducts coaching/counseling and other personnel activities.
• Maintains knowledge of state and federal laws pertaining to the release of protected health information.
• Assists providers by providing re-education on medical record documentation requirements in the EMR including but not limited to report creation/upload, monitoring the HIMS message center, and chart completion.
• Answers provider inquiries regarding assignment of medical record tasks related to chart completion.
• Compiles and recommends providers for monthly suspension and assists with notification to the appropriate committees or designated individuals.
• Reviews HIM processing and release of information workflows, procedures and practice guidelines.
• Plans and conducts meetings with functional work areas at designated intervals
• Maintains knowledge of technology, processes, and indices necessary to file, store and retrieve patient information.
• Reviews, verifies and completes staff payroll, at a minimum on a bi-weekly basis
• Monitors departmental equipment for performance and arranges service as needed
• Develops and monitors quantity and quality standards of production for staff.
• May perform duties and responsibilities of the processing or release of information staff as needed.
• Maintains supplies for equipment and the department, submitting requests for replacement as necessary.
• Recognizes and performs duties which need to be performed although not directly assigned.
Minimum Requirements
• High School Graduate/GED / Equivalent Work Experience
• 2-4 Years of related work experience
• Previous experience in a medical records department with 3 years experience as a supervisor
• Medical terminology
• Ability to communicate in English
• Knowledge of regulatory requirements for release of patient information
• Experience with EMR and documentation processing, preferably in an acute hospital setting
• Working knowledge of computers (i.e. Microsoft, Lotus Notes, AS400) and office equipment
Preferred Requirements
• AHIMA RHIA/ RHIT preferred
