Supervisor, Mailroom

Job Purpose

Responsible for supervising the daily operations of the mailroom team. Oversight of all mailroom activities including the sorting and delivery of incoming mail and preparation and distribution of outgoing mail. In addition, this position is responsible for the print center operations, providing accurate and timely shipping of printed materials. This role oversees the corporate copier/printer program ensuring supplies and maintenance meet SEG requirements and coordinates with various departments and records management vendors in the retention, retrieval, and/or destruction of stored files.

Operations:

Supervise all day-to-day Mailroom and Print Center operations to ensure efficient and timely distribution of incoming and outgoing interdepartmental mail, courier, and overnight packages. Oversee the copier, plotter, and high-speed printer programs ensuring fleet is operational, user maintenance is complied with, supplies are on-hand, training is accomplished.

Accounting Support:

Oversee Accounts Payable and Payroll check printing, distribution and inventory ensuring complete accountability to protocols and policy. Maintain tracking on customer request for print jobs and assign priority as required. Verify the accuracy of all mailroom invoices prior to processing. Analyze and resolve any billing issues.  Maintain postal metering account ensuring funding is submitted as required and proper auditing is conducted.

File Management:

Collaborate with SEG management and work directly with file management vendor coordinate the retention, retrieval and destruction of all stored company files. Monitor collection point of all documents to be scanned and ensure timely submission of documents to imaging vendor.

Facility Upkeep:

Coordinate team oversight of all Conference Room Audio/Video equipment ensuring all team members are trained on operation. Ensure conference rooms are maintained in accordance with establish protocols. Maintain business supplies as required ensuring adequate inventory levels are maintained.

Knowledge, Skills & Abilities Required

·       3 - 6 years-experience with mailroom operations, records management and budget software.

·       Intermediate Microsoft Excel, Word, and Outlook skills.

·       Possess valid driver’s license with a satisfactory driving record.

·       Organizational skills and the ability to prioritize and complete multiple projects simultaneously while adhering to established deadlines.

Knowledge, Skills & Abilities Preferred

·       Experience with PeopleSoft, Oracle budget software.

·       Experience with Iron Mountain Records Management Software

·       Coursework in business or related field
