Position Overview
The Operations Coordinator is an integral member of the I Dream Team. You will partner directly with our families, visitors, and contractors. As such, you will be comfortable working with different audiences, multi-tasking, prioritizing, de-escalating, and everything in between. You are a quick learner, take initiative, love problem solving and figuring things out independently and as part of a team, and enjoy true collaboration. At the end of the day, you are willing to do what it takes to get the job done.
Generally, the Operations Coordinator plays a focused role in the day to day operations of the school, reporting directly to the Director of Operations. Together, these two positions make up the operations team tasked with ensuring our coaches have what they need to lead their classrooms and our learners have what they need to be successful in those classrooms.
Responsibilities
- Office Management
- Manages primary phone and email communications
- Coordinates learner transportation- OSSE, smartrip, fieldwork
- Primary point of contact for all activities between nurse and school
- Manages office supplies ordering and budget
- Attendance lead and primary point of contact, internally and externally of I Dream PCS
- Registrar and Enrollment
- Collaborates with Family Engagement Coordinator on Outreach and Enrollment strategy to ensure streamlined project management for enrollment actions
- Manages and coordinates registration for new and returning learners, including the organized collection of all required enrollment documents
- Leads the annual enrollment audit
- Processes information requests from all school stakeholders, including families and external agencies
- Any other duties as assigned or that come up regarding this area
- Lead for day-to-day operations programming
- Leads all aspects of the school food program, including but not limited to vendor management, kitchen management, general compliance and reporting, meal delivery, and other related duties
- Leads learner technology management, including but not limited to inventory tracking, warranty claims, classroom technology management training and organization
- Oversees management of the student information system (eSchools Plus) to ensure accuracy, including all data management and backend functions throughout the year as well as beginning of year and end of year processes
- Works with the school custodian to address facilities issues as they arise
- Community
- Assists and/or leads logistics and preparations for school events and activities.
- Participates in all necessary duties for the successful and orderly functioning of the school (hallway supervision, arrival/departure transitions, lunch/recess, and participation in field trips, supporting learners) and other such duties as assigned
- Serves as a full-time and engaged member of the school staff, including collaborating with school staff, towards fulfilling I Dream's mission to our learners

- Basic proficiency in Microsoft and Google Suites, including excel and spreadsheets; computer literacy

Minimum Qualifications
- 3+ years of experience in operations, preferably in an urban school environment
- Minimum of a Bachelor's degree
- Experience leading recruitment and enrollment of students preferred
- Experience with eSchools Plus required
- Results driven, solutions-oriented with commitment to operational, organizational, and customer service excellence
- Strong oral and written communication skills
- Strong technical skills

Compensation and Benefits
I Dream PCS offers a competitive salary commensurate with experience (range of $48,000 - $58,000) and a comprehensive benefits package to promote self-care and overall wellness, including employer-covered health insurance for employee and 50% coverage for dependents, dental and vision insurance, free life insurance up to $100,000, 403b retirement including employer match, and included short term disability insurance.
