About the Job
To coordinate the activities and operations for the educational program(s) of a specific student group (e.g. medical students, residency programs, fellowship programs). To maintain records, schedules and program information. To perform general program related duties for incoming, continuing and outgoing clerkships, residents, medical students or fellows.
Duties and Responsibilities:
- Responsible for the day-to-day administrative program management for a residency and/or fellowship program(s) including but not limited to: MedHub data entry, monitoring and generation of personnel reports and evaluation, work hour/procedure logging, onboarding, curriculum, scheduling, alumni tracking, scheduling RadExam assignments.
- Responsible for preparation of annual reports in ACGME ADS and Annual Program Evaluations, coordination of and attendance at Program Evaluation Committee and Clinical Competency Committee meetings. Pre-meeting preparation, minutes, and follow through as necessary.
- Coordinates all aspects of recruitment activities, facilitates interview days, educates faculty on interview compliance, trains faculty on interview platforms (such as Thalamus and Cortex). Planning and tracking graduation requirements.
- Tracking of resident compliance: work hours, moonlighting, rotations, conference attendance, scholarly activity, evaluations, QI/Patient Safety projects, licensure, away time, board eligibility, and procedure logs.
- Liaise with the national accrediting bodies, the GME Office, other UAB entities and various agencies and prepares a variety of documentation associated with the Resident/Fellowship program operations
- Responsible for annual activities and special events (top-down coordination), monitoring and reconciliation of program expenditures including resident PDA accounts.
- Preparation of correspondence, trainee verifications, Semi-Annual evaluations, Formative and Summative evaluations, meeting logistics, filing, and record retention.
- Maintains professional development by monitoring GME-related print materials and participation in local, regional, or national meetings.
- Perform other duties as assigned
Salary Range: %2419.80 - %2429.00
Associate's degree in a related field and two (2) years of related experience required. Work experience may substitute for education requirement.
Preferred:
- At least two years of experience in higher education, undergraduate medical education or graduate medical education, or hospital administration.
- At least two years of experience providing administrative support in a busy office environment.
- Strong technology abilities and experience with web-based data systems
- GME Program or Institutional knowledge
- Demonstrates well-developed assessment and organization skills
- Demonstrates analytical, time management, organizational and interpersonal skills achieved in busy office environments
- Demonstrates skill and proficiency in the utilization of various web-based applications and databases
- Demonstrates ability to handle sensitive information with absolute confidentiality
- Possesses critical thinking, problem solving, and decision-making skills
- Intermediate use of MS Office Suite
- Demonstrates familiarity with preparation of complex reports
- Demonstrates extreme attention to detail
- Demonstrates strong follow through skills
- Has ability to interact professionally with many types of individuals
- Demonstrates proficiency in verbal and written English.
