The University of Alabama at Birmingham (UAB) is seeking a PROGRAM ADMINISTRATOR II with minimal supervision, performs high-level administrative duties often of a confidential and complex nature. Maintains a current knowledge of departmental policies, procedures, and regulations and provides information and assistance as needed to facilitate the office's daily operations. This position supports the Associate Dean of Technology and Innovation, the Director of Instructional Technology, the Director of Educational Innovation, the Director of Simulation, and their departments providing administrative support and guidance. The direct report for this individual is to the OTI Business Officer II with input for evaluation purposes from the other individuals in the positions this individual supports. This is not a remote position.
RESPONSIBILITIES:
1. Provides administrative support to the Office of Technology and Innovation (OTI), including answering phone lines and directing visitors.
2. Facilitates meeting arrangements, prepares agendas, and takes minutes based on OTI needs. Orders office supplies as needed
3. May prepare daily deposits
4. Maintains filing systems and develops and edits various documents and monitors email correspondence.
5. Provides administrative support to the SON American Heart Association Training Center (AHATC), that may include moving AHA equipment (adult and infant manikins, carts) maintaining relationships with instructors and providers, course registrations, refunds, tracking instructor certifications and renewals, issuing and managing eCards inventory, record-keeping, equipment checkout and safeguarding exams.
6. Responsible for P-Card purchases, reconciliations, and provides status reporting
7. Completes travel documents and manages employee reimbursements.
8. May create draff event budgets and manages logistics for onsite continuing education offerings.
9. Supports the Alabama Board of Nursing CEU provider process. Submits CEUs to the Alabama Board of Nursing.
10. Performs other assigned duties.
(Hourly Rate: %2418.35 - %2429.80)
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
To be successful in this position, an individual must be self-motivated and able to work independently. The individual will be highly organized with strong attention to detail in addition to excellent communication (oral and written), and interpersonal skills. Must be highly proficient in Microsoft Word, Excel, Outlook Calendar, and PowerPoint. Must maintain confidentiality and adhere to all HIPAA and FERPA guidelines and policies.
