Job Title: Tax Manager
Salary Range: $90,000 to $125,000 D.O.E.
Job Description – SUMMARY
To be COMPLETELY responsible for all income tax related matters in a section of clients in a dedicated and professional manner. You understand that you are directly accountable to your client and firm owner for ALL income tax related work completed, and the amount of time that you spent.
• Manage income tax preparations for the entities and personals in your section.
• Manage all personal property tax preparations for businesses.
• Manage tax planning & strategies for the businesses and personals in your section as well as for any year-end only clients that are assigned to you.
• Manage income tax workpaper files to ensure appropriate documents are being scanned to our files and gets returned to clients. Make sure that physical Redweld files are kept as empty as possible.
• Become an expert or "champion" of the tax software that we use.
• Work with clients to instruct and train them on our client tax procedure guides. Update guides as needed.
• Manage all income and property tax processing systems used for this work.
• Research all technical tax related issues
• Work with clients to help them prepare documents required for paper (no visit) income tax audits.
Job Description - DETAILED
- Production
- Monitor all tax production/projects and e-filing due dates to make sure that all tax projects are completed on time. Review on a weekly basis the status of clients whose information is incomplete. Take action as required.
- Answer all technical tax processing/tax questions from other staff.
- Monitor tax production time throughout the month to help ensure that time is not greater than budgeted.
- Hold weekly work production status meetings with Owner to review work completed and discuss any issues.
- Train new tax preparers as needed and participate in the process of hiring new preparers.
- Maintain daily control over tax return production requirements/due dates.
- Maintain daily control over time spent -vs- budgeted/standard hours.
- Assign, coordinate, and review tax returns completed by other preparers.
- New Clients
- Attend and administer Initial Onboarding Session.
- Handle new client tax set up, tax procedures training and any back tax work or tax elections.
- Coordinate entity changes if applicable.
- All Clients
- Prepare tax returns, both business and personal.
- Periodically review PBC client financial statements in order to determine if our "tax plan" is correct.
- Prepare Tax Planning Letter & Report at least annually, more if needed. Work to suggest ideas to reduce the tax that clients pay - income tax, personal property, and employment.
- Manage the process of printing and distributing personal tax organizers by January 10. Adjust questions on questionnaire.
- Review 13th month AJE's, depreciation schedules and finish completing tax AJE's if needed.
- Answer all technical tax questions and research issues as needed.
- Make contact in October through December (either through meetings or telephone conferences) with ALL monthly clients to finalize any tax planning. This helps ensure that clients do not have any surprises and/or penalties.
- Review EACH quarter:
- If the client is taking a reasonable salary
- Net income of the company vs. distributions taken
- The need for a discussion to make end of year final tax planning easier
- Maintain and control quarterly tax estimates throughout the year for business and personal tax returns.
- Handle any correspondence from income tax related authorities.
- Participate in meaningful monthly client contact and document your discussion.
- Other responsibilities
- Attend weekly meetings with the Owner to review income tax production, new client status, profitability on accounts, client issues, staff issues, etc.
- Attend and run a weekly general staff meeting with the bookkeepers to review items listed above.
- Manage income tax software updates and conversions. You are our office Ultra Tax "champion" or expert.
- Attend tax seminars as required
- Help client manage their Foreign Asset reporting.
- Review the contents of the business and individual Quickfinder manual or other tax manual on an annual basis.
- Work with Owner to update Tax Procedures Guide as needed.
- Review software updates as soon as possible for our UltraTax and Planner software; inform others of major changes that may affect others.
- Manage special projects as assigned
- Obtain a minimum of 40 hours of CPE per year, and maintain CPE log.

- Print weekly status reports for your accountabilities and meet with other Owner:
- Timely Monthly Production: List of clients by month not processed
- Meaningful Monthly Client Contact: List of clients you had M2C2: print time/detail report from PCS
- Referrals: List out who you reminded we appreciate their willingness to refer or asked for a referral from.
Position Skills:
- 5+ years of experience in tax preparation, review, and planning.
- CPA certification is required.
- Strong knowledge of federal, state, and local tax regulations.
- Ability to analyze financial data and make informed recommendations.
- Excellent communication and interpersonal skills.
- Detail-oriented with a high level of accuracy.
- Proficient in tax software and MS Office Suite.
