POSITION SUMMARY:
Under the general direction of the Director, this position is responsible for day-to-day sponsored program pre-award and non-financial post-award functions related to proposal submission and award management. Plays a key role in various aspects of pre-award reporting, coordinating and leading the grant administrator's work, acting as a liaison to managers. Provides training, mentoring and guidance to team members, as appropriate. Requires advanced experience in grants and contracts management, working knowledge of policies and regulations, and the ability to lead initiatives to improve the proposal submission and award management process at Boston Medical Center.

JOB RESPONSIBILITIES:
- The Team Lead is a subject matter expert in the areas of federal and non-federal grants and contracts management: Provides technical supervision and guidance to Grant and Contract Administrators in matters related to proposal submission, agreement review and negotiations, subcontract issuance, and non-financial post-award activities.
- Collaborates with departments and other stakeholders to ensure that BMC's research community has the tools needed to develop compliant proposals, and other grant-related documentation.
- Stays current with policy changes and collaborates with other Team Leads and Manager, Sponsored Programs Administration to review and update policies, standard operating procedures, and guides related to proposal submission and award management.
- Identifies knowledge gaps and in collaboration with other Team Leads and Manager of Sponsored Programs assists with preparing and delivering trainings to Sponsored Programs team and the research community
Pre-Award Activities
- Oversees upcoming proposal submissions and Just-in-Time (JIT) deadlines, and monitors internal deadline compliance. Reviews, approves and submits proposals and JIT requests. Reviews and negotiates sponsored projects agreements.
- Monitors updates to sponsor funding regulations and proposal requirements, and circulates synchronized information to the research community alerting them to changes in regulations, proposal requirements, forms, submission processes, and deadlines.
- Uses advanced contracts and grants concepts to manage a high volume of proposals and subaward applications; with various levels of complexity. Performs final review of proposals for Grant and Contract Administrators.
Award Management Activities
- Oversees the day-to-day workflow of subaward and PO issuance, agreement review and negotiation, and project setup by mentoring Grant and Contract Administrators. Manages the subaward and DTA/MTA mailboxes/requests.
- Monitors the Purchase Orders (PO) request process, and ensures that Research Finance has the information needed to process subinvoices.
- Receives and processes departmental requests to issue subawards. Collects all necessary information for inclusion in agreement. Coordinates the review and execution of related agreements for research and service programs. Serves as the liaison for research legal counsel and serves as the department administrator's contact for all agreement issues.
- Develops monitoring plans, including risk assessment, risk level determination, additional terms to address risk areas, and monitoring during the subaward.

EDUCATION:
- BS/BA required.
CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:
- Certified Research Administrator (preferred)
EXPERIENCE:
- Requires at least five years of relevant work experience.
KNOWLEDGE AND SKILLS:
- Requires strong computer skills, including a comprehensive knowledge of Microsoft Office and Adobe. Prior knowledge of grant management system: InfoEd, ASSIST, Workspace, eRA Commons, FastLane, COMMBUYS preferred.
- Individual should have strong interpersonal skills with a high degree of analytical ability and capable of communicating effectively, both verbally and written
- The ideal candidate will possess strong deductive reasoning skills and the ability to work both independently and as part of a team are required
