Summary
The Team Member Relations Coordinator II (“Coordinator” is responsible for coordinating the leave of absence process for team members (e.g., FMLA, non-FMLA medical, parental, military, personal leaves of absence). The Coordinator uses independent judgment to determine whether a team member is qualified for leave under federal, state and local laws and Company policy, uses discretion in determining the sufficiency of information presented when granting leave or approving a request for a return to duty, and processes the leave request. The Coordinator also reviews and provides guidance regarding requests for accommodations due to a medical condition.
Duties and Responsibilities
- Acts on behalf of the People & Culture (Human Resources) department to administer all aspects of the leave of absence process.
- Receives intake information, determines leave eligibility and leave type (e.g., FMLA, non-FMLA medical, parental, military, personal leave) for field and Support Center team members based on federal, state and local laws, as well as company policies.
- Coordinates leave of absence program and processes from start to finish for all team members. Ensures consistent application of leave procedures, in alignment with federal, state and local law requirements.
- Communicates timely throughout the leave cycle process with team members and managers to ensure stakeholders are informed of the status of individual leaves of absence. Works closely with the team member to assist with the timely return of required paperwork. Updates managers and employees on leave status, developments and accommodations related to work restrictions.
- Maintains accurate records in the system for each leave of absence and accommodation case.
- Prepares and sends all required leave and accommodation notices and paperwork within the designated time frame.
- Assists the company and its team members to navigate complex leave of absence and accommodation cases, pursuant to federal, state and local laws and regulations.
- Receives information regarding medical-related accommodation requests, sends paperwork to team member for completion, analyzes the information received and coordinates response.
- Works in cooperation with management to determine whether requests for medical accommodations are reasonable based on work restrictions. Communicates regularly with managers and team members.
- Demonstrates knowledge and awareness of compliance policies, procedures, and regulations affecting day-to-day leave of absence and accommodation responsibilities.
- Completes some administrative duties for the People & Culture department.
- Responds to internal and external People & Culture-related inquiries and requests.
- Performs HRIS data entry, occasionally.
- Performs special projects as directed, occasionally.
- Ensure TA & bp’s safety, risk, and compliance culture and expectations are met. Prioritize safety in all aspects of the role and support the Believe in Zero safety philosophy.
Qualifications
- Bachelor’s degree or equivalent leave/accommodation work experience in Human Resources or related fields preferred
- 1 + years of experience in the field of Human Resources with working knowledge of leaves of absence and job accommodation process
- Excellent written and verbal communication skills
- Experience in a multi-state organization preferred
- Demonstrated experience with MS Office products
- Demonstrated experience with keeping pace in high volume environment while prioritizing high level of customer service
- SHRM and/or HRCI HR certification preferred
- Attend classes/seminars to keep current with employment-related legislation and best practices in HR and compliance
- Ability to learn quickly
- Possess a high attention to detail and critical thinking skills
- Ability and willingness to respond to team member concerns quickly and accurately

In this role, the employee is continuously sitting and typing, frequently talking and using eye and hand coordination and may also be required to climb or balance; stoop, kneel, crouch or crawl.
