Job Summary: The File Clerk is responsible for maintaining and organizing the company’s physical and digital files. This role ensures that all documents are accurately filed, easily retrievable, and securely stored, while adhering to company policies and procedures.
Key Responsibilities:
- Organize and maintain filing systems for both physical and electronic documents.
- Classify and file documents according to established procedures.
- Retrieve and provide requested files and documents in a timely manner.
- Ensure the accuracy of files and update records as needed.
- Assist in the digitization of paper documents and maintain electronic filing systems.
- Perform regular audits of filing systems to ensure compliance and accuracy.
- Handle confidential information with discretion and in accordance with privacy regulations.
- Support other administrative tasks as needed, including data entry and document preparation.
Qualifications:
- High school diploma or equivalent; additional education in office administration or a related field is a plus.
- Previous experience in a clerical or administrative role preferred.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with filing software.
- Excellent communication skills, both verbal and written.
- Ability to manage time effectively and prioritize tasks.
Physical Requirements:
- Ability to lift and move boxes of files as needed.
- Prolonged periods of sitting or standing.
