Fort Valley State University, the only 1890 land-grant university in Georgia, is a comprehensive institution that provides an education to over 2,800 students including graduate students. JOB SUMMARY:
The Title III Coordinator is a key support role designed to assist the Title III Director in the management and operational success of the university's Title III grant programs. This full-time position focuses on the coordination, administration, and support of grant-related activities, ensuring compliance with federal regulations and university policies. The coordinator will work closely with the Title III Director, Activity Directors, and other stakeholders to facilitate effective grant management, financial oversight, and reporting requirements.
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Project Management and Support: Assist in the planning, execution, and monitoring of project activities to ensure alignment with grant objectives and timelines. Provide support for special projects as directed by the Title III Director.
- Fiscal Monitoring and Budget Management: Oversee and manage budgetary functions, including monitoring of travel and general requisitions, budget amendments, and expenditure tracking to ensure accurate accounting and compliance with federal regulations.
- Compliance and Reporting: Ensure adherence to OMB Uniform Guidance and other federal regulations by maintaining up-to-date time and effort report records. Prepare and submit compliance reports as required.
- Stakeholder Communication: Act as a liaison between the Title III office and Activity Directors. Organize and notify stakeholders of meetings, maintain minutes, and ensure effective communication of policies and procedures.
- Training and Technical Assistance: Provide training and technical assistance to staff and stakeholders on grant management practices, federal compliance requirements, and effective use of grant resources.
- Evaluation and Improvement: Participate in the evaluation of program effectiveness and recommend improvements to meet or exceed program goals. Assist in the coordination of internal and external evaluations.
- Technology and Data Management: Collaborate with IT and data management teams to enhance data collection, analysis, and reporting capabilities. Contribute to the development and maintenance of the Title III activity data dashboard.
- Professional Development: Stay informed of best practices, emerging trends in grant management, and federal regulations through continuous professional development and participation in relevant workshops and conferences.
- Cross-functional Collaboration: Work closely with various departments, including the Office of Institutional Research, Planning and Effectiveness, and the Office of Marketing and Communications, to promote program objectives and achievements.
- Internal Equipment Audits and Inventory Management: Conduct internal audits of equipment to verify validity of submitted inventory reports of all major items purchased with Title III funds for all Title III activities.
- Financial Administration: Generate and submit purchase requisitions for necessary expenditures, including travel arrangements for the Title III Office. Request, manage, and maintain digital expenditure files for Title III activities from Business and Finance, ensuring accurate tracking and reporting of financial transactions.
- Other Duties: Perform other relevant duties as assigned by Title III Administrator.
MINIMUM QUALIFICATIONS:
- Requires a Bachelor's degree in a relevant field such as Business Administration, Finance, or Public Administration, or equivalent professional experience, with at least 3 years of relevant experience: grant management, financial oversight, or a similar role, preferably in an educational or non-profit setting.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Must be knowledgeable of OMB Uniform Guidance: Cost Principles, Audit, and Administrative Requirements for Federal Awards.
- Proficiency in financial and/or grant management software, as well as Microsoft Office Suite.
- Strong communication skills, the ability to focus on detail, the ability to work with little supervision, and knowledge of Microsoft Office programs are necessary.
- Familiarity with OMB Uniform Guidance and federal grant compliance requirements.
- Strong organizational, communication, and interpersonal skills.
- Ability to work collaboratively in a team environment and manage multiple priorities effectively.
