Position Summary:
The International Touring Assistant provides administrative support to senior employees of the international team, as directed by the Senior Vice President. This position is responsible for the handling of information requests, distributing ticket requests and performing administrative/clerical functions. Administrative functions include but are not limited to, preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, scheduling meetings and heavy calendaring. The also works on various projects of a confidential nature as assigned by the senior team.
Essential Functions:
- Handle internal and external communication and correspondence for the international team
- Responsible for general administrative support activities including preparing documents and presentations, sending meeting notices, creating and maintaining an organized filing system for electronic and hardcopy files.
- Support the meeting and appointment schedules of the international team across multiple time zones
- Lead planning for event hospitality and artist gifting
- Book travel and prepare the executive’s expense reports.
- Forward incoming ticket requests to appropriate party, or execute ticket requests when necessary.
- Work onsite at concert and festival events on an as needed basis as an industry liaison and coordinator.
- Supporting daily operational duties related to the executive in a personal and professional capacity. Ensures that all documents are seen and signed in timely manner.
- May assist with special projects as assigned by executive in timely, accurate and confidential manner.
Required Qualifications:
- A minimum education level of: High School Diploma or its equivalency (Bachelor of Arts/Sciences Degree Preferred)
- 0-2 years of related work experience
- Proficient in MS Office (Word, Excel, PowerPoint) & Adobe Acrobat
- Excellent interpersonal and customer service skills
- Detail orientated individual with commitment to advancing in the music industry
- Strong written and verbal communication skills with an ability to take direction and work as a team towards the execution of a large scale touring event
- Knowledge of accounting principles and previous experience in building financial models
- Able to work a flexible schedule which may include nights, weekends and holidays as tour permits
- Strong analytical and organizational skills
- Knowledgeable about the music industry
- Positive attitude with an ability to take initiative
- Foreign language abilities preferred (Spanish or Korean)
Pay Scale: $17.00-$25.00
