About the Job
Position Purpose
Contribute to the daily administration and coordination of training functions and events and deliver training courses. Organize and facilitate onboarding events for new hires.
Duties & Responsibilities
- Deliver training classes as assigned
- Support the review and development of training curricula
- Compile training data and reports as requested
- Develop training presentations and other training materials as directed
- Support monitoring and evaluation of key departmental metrics
- Review all employee training forms received for completeness and accuracy
- Maintain and enter training records in Learning Management Systems (LMS)
- Coordinate enrollments for Instructor Led Training (ILT) and track attendees
- Prepare course materials for Instructor Led Training events
- Manage Learning Plans (LPs), including:
- Ensuring all active positions have a relevant learning plan
- Filing new and updated LPs in LP library
- Assigning LPs to position in LMS
- Oversee the onboarding of new hires in collaboration with members of the Department of People, including:
- Email new hires with details about the company, including parking information, work schedules, and dress codes
- Coordinate scheduling of new hire orientation sessions
- Welcome new hires with prepared onboarding kits
- Provide tours of the Southern Oregon facilities as directed
- Collect and complete I-9 forms and any other missing documents
- Verify system access prior to new hire orientation for all new hires
- Present L&D briefing for new hire orientation
- Support continuous improvement of training capacity and onboarding process
- Print Training Logbooks
- Support employees by responding to inquiries, troubleshooting, and resolving LMS and process issues
- Generate LMS reports for audits and other reporting requirements
- Special projects as needed and as bandwidth allows
Minimum Qualifications
- High School diploma or equivalent
- 2 years previous administrative assistant experience is preferred
- Experience with project management desired
- Experience with in-person and virtual training
- Experience as an onboarding specialist or other similar HR role preferred
- Proficient in Microsoft Office Suite. Working knowledge of databases and Learning Management Systems (LMS) is a plus
