General Overview
Under the general supervision of the Senior Manager for Health Information Management and working as part of a team, the Training and Communication Specialist is responsible for needs analysis, design, development, and implementation for all training and communications to applicable workforce on topics related to Health Information Management.
This highly visible position assesses the current state of training and development of the workforce, as well as participates in ongoing review and monitoring of training programs and initiatives. They work with all levels of the workforce, including professional staff, management, and support staff. This position will create programs, events, and communication for the workforce on regulatory changes, new and revised workflows or policies, and required updates. Working with the rest of the team, they develop and deliver educational programs, selecting the most appropriate delivery method.
This position requires an experienced, creative, articulate, and organized individual comfortable with training and communication in all size groups, and the ability to work across multiple levels and entities for consistency of message for the Mass General Workforce. This position consults with HIM management on the development of systems training within HIM, and for the organization, including but not limited to Epic.
Principal Duties and Responsibilities
- Conduct new user training for all HIM employees. Collaborates with department manager on onboarding training plan, 90-day probationary plan and provides focused re-training support as needed.
- Works with department managers on refresher training, both systemic and ad-hoc as needed.Delivers training to audiences through webinars or occasionally in person. Contributes to all aspects of HIS training, including needs assessment, design improvements, and use of interactive and hands-on methods.
- Primarily responsible for the creation and delivery of HIM communications. This includes the maintenance of content on the Mass General Brigham HIM Intranet site (Vitals), development and delivery of internal communications and broadcast messaging, as well as event planning.
- Develop and implement communication plans in collaboration with department leadership. Consults with subject matter experts to understand communication and education requirements. Conducts need analysis and translates them into relevant tools for audience and language level.
- Participate in Digital training upgrade activities per established milestones including training slides, NOVA notes assessment, creation of Epic Digital Library tasks, training asset maintenance, and communication to other Credentialed Trainers by application(s).
- Work with the team to design the curriculum to support training & education on Epic, HIPAA, electronic health records, Patient Gateway, and other topics within HIM’s sphere of interest to a variety of audiences within the workforce as needed.
- Design and develop education and resource materials including slide decks, toolkits, self-study guides, pamphlets, worksheets, posters, workshops, and other collateral material as needed.Works with the HIM Training and Communication Team (TaC) to create materials determined to best meet the audience needs of diverse learning styles, educational backgrounds, and experience levels.
- Initiate and deliver awareness and educational campaigns for key HIS strategies, policies, and programs that impact the workforce within the network.Leads special projects determined by need and priority of strategic goals.
- Work with the team to ensure training content matches instructional goals, follows established policies and procedures, and meets quality standards. Utilizes evaluation tools to assess training effectiveness and optimize training experience for learners.
- Manage updates to cross-functional policy and procedure documentation for the departments. Align training as appropriate.
- Facilitate Training and Communication team meetings. This includes agenda planning, milestone tracking and deliverables, meeting documentation, and communications to Sites. Manage updates to team procedures.
- Provide demonstrations of system functionality, as necessary
- Perform other duties as needed.
Qualifications
Education:
- Bachelor’s degree required in Education, Marketing, Communications or other related field of study. Master’s degree preferred.
Experience:
- 3+ years delivering training, including online and interactive training, required.
- Experience in the administrative/business/clinical area of healthcare. Experience in HIM is a plus
- Experience with learning management systems (HealthStream preferred).
- Experience with Adobe Creative Cloud suite. Experience with video authoring tools a plus
Skills/Abilities/ Competencies
- Excellent written, oral, interpersonal, and presentation skills, including the ability to effectively convey technical information to non-technical end users.
- Strong Microsoft Office suite skills, especially PowerPoint and Visio.
- Experience interacting with end users, management, and others to gather and understand their training, business, and technical requirements.
