Summary/Objective
In keeping with our organization’s goal of improving the lives of the Guests we serve, the Ward Clerk is responsible for performing a variety of clerical duties relating to the updating and organizing of information on the nursing units; coordinating work within the unit as well as with other units and departments; This position provides clerical support and recordkeeping for the medical aspects of resident care at the nursing home.
Essential Functions

1. Records medical and administrative information in accordance with established charting and documentation policies and procedures.
2. Establishes, develops, maintains and updates filing system for the unit. Retrieves information from files when needed.
3. Answers the telephone in a professional manner; directs calls to appropriate individuals and/or takes messages.
4. Assist other departments with obtaining needed documentation and signatures from Guests, appointed guardians and family members.
5. Assists new admissions, room transfers and discharges of Guests.
6. Responsible for scanning all new and re-admit patients’ hospital records into PCC within 24 hours. Once this is complete send these to the medical records department.
7. On a daily basis gathers all appointment slips and is responsible for ensuring that medical records receives them.
8. Follow up with Doctor’s office on a daily basis in order to obtain consultation reports for residents that went out on appointments.
9. Upload all consolation reports into PCC within 24 hours of appointment then give reports to charge nurse for any new orders.
10. When needed assist with escorting patients out on appointment.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a health care setting. This role requires regular walking to various locations around the facility. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This role may also come into contact with Guests who may have contagious illnesses.
Physical Demands
while performing the duties of this job, the employee is regularly required to talk and hear.This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This position is part of a health care facility that is open 24 hours a day, 365 days a year. Evening and weekend work as well as holiday and work during inclement weather will be required.
Travel
No travel is expected for this position.
Required Education and Experience
· High school diploma or equivalent.
· One year experience in an administrative role.
Preferred Education and Experience
· Associates Degree
· Two years of related experience.
