Job Position: Treatment Plan Coordinator
Summary
Educate and schedule patients for dental care according to the doctor’s treatment plan. Schedules with production goals and time management for the staff in mind. Presents treatment plans to patients when the doctor is not accessible. Presents financial options to the patients, when needed, and assists them with applications to 3rd party financing.
Essential Duties and Responsibilities:
- Schedules appointments according to the parameters set forth and enters appointment date and time into the computerized scheduler.
- Schedules to achieve the daily and monthly goals set forth recording them daily and reviewing them at the morning huddle.
- Presents treatment plans prescribed by the doctor to the patients
- Presents payment options to payments and processes credit applications and financial agreements
- Retrieving voicemails and online registration forms and integrating them into the patient’s digital chart
- Answers telephone, and e-mail, and either respond to inquiries or directs caller to appropriate personnel.
- Processes computerized calls, emails, or texts and conducts reminder calls to all patients.
- Greets and directs patients, salespeople, and visitors.
- Registers patients by verifying that patients' records are up to date and accurate. Makes appropriate changes in the computer system and on the patient's chart.
- Coordinates referrals for patients with other dental offices and records on the computer.
- Assists account managers with their duties and responsibilities.
- Performs other related duties and tasks as necessary or as assigned.
Education/Experience:
One year certificate from college or technical school; or a minimum of 5 yrs experience in a dental office as a front desk receptionist, patient care, treatment plan, or insurance coordinator. Prefer cross-training in clinical dental assisting skills.
Language Ability
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to communicate well verbally with patients at a level they can understand. Ability to write routine reports and correspondence. Ability to speak effectively before groups of patients or employees of the organization.
Math Ability
Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should know word processing software; spreadsheet software; accounting software, and database software, and MUST know Dentrix. Also, preferred knowledge of Dexis and Romexis.
Certificates and Licenses
No certifications are needed. CPR certification is preferred.
Supervisory Responsibilities
The employee in this position is required to supervise the daily activities of any employee while they are assuming tasks delegated by the Treatment Plan Coordinator.

Physical Demands:
- The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus.
- While performing the duties of this job, the employee is regularly required to sit and talk or hear.
- The employee is frequently required to use their hands to finger, handle, or feel.
- The employee is occasionally required to stand; walk and reach with hands and arms.
