Job Summary
We are seeking a detail-oriented and organized Office Admin to join our team. The ideal candidate will be responsible for managing the front office activities, including receiving and distributing mail, handling office supplies and budgets, and routing calls as needed. The Front Office Clerk will perform various standard office duties to ensure smooth and efficient operations.
Primary functions and duties
- Routing Calls: Occasionally assist in managing and directing incoming calls for both TransTech locations, ensuring they are directed to the appropriate person or department.
- Mail Management: Receive, sort, and distribute incoming mail and packages; handle outgoing mail and coordinate with postal services.
- Office Supplies Management: Monitor and manage office supplies inventory, place orders as needed, and handle the related budget.
- Document Management: Maintain and organize office files and documents, both physical and electronic.
- Visitor Management: Greet and assist visitors, ensuring they are directed to the appropriate personnel or location.
- Meeting Coordination: Assist in scheduling and organizing meetings, including preparing meeting rooms and arranging necessary equipment.
- General Office Duties: Perform standard office tasks such as photocopying, scanning, faxing, and data entry.
- Administrative Support: Provide administrative support to various departments as needed.
- Facilitating Requests: Act as a liaison to handle and facilitate requests between the office and the manufacturing shop.
- Other duties as assigned

- Excellent ability to prioritize tasks and manage time effectively.
- Strong verbal and written communication skills.
- Ability to interact professionally with visitors, employees, and callers.
- Competent in using office software such as Microsoft Office Suite and familiarity with office equipment.
- Ability to address and resolve issues proactively.
- Bilingual (English and Spanish) is a plus.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong attention to detail and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Must be energetic, helpful, have great people skills, and be able to multi-task.
Education:
- High school diploma or equivalent required; additional education or certification in office administration is a plus.
Experience:
- Previous experience in an office clerk or administrative role is preferred.
