General Summary
The Administrative Manager is a vital role in ensuring proper staffing alignment for various events and supports day-to-day operations. Their
primary focus is meeting client needs by staffing, identifying scheduling concerns, and assisting Event Managers in non-event day activities.
Maintaining and strengthening the culture of the accounts and ensuring events are fully staffed is to remain the number one priority.
Principal Duties and Responsibilities
- Efficiently utilize scheduling software (e.g. ABI) to create event schedules, schedule staff and monitor staffing levels.
- Create and maintain google forms and enter responses in conjunction with HQ Lead Scheduler.
- Collaborate with client and GM to determine staffing requirements, ensuring adequate coverage before each event.
- Maintain accurate employee time records and handle invoicing for events.
- Prepare and distribute necessary paperwork for event check-ins.
- Monitor staffing levels during event check-ins.
- Schedule onboarding shifts for new team members.
- Foster effective communication with all HQ departments like Human Resources, Accounting, and Admin|Operations.
- If there is no formal venue office, admin time should be spent at 4001 Fox Street.
- Report directly to the General Manager for pre-event and event day preparations.
- Assist staff with check-in/out procedures and provide necessary materials for their shifts.
- Document staff attendance and report any HR-related issues.
- Be adaptable to changing event day operations based on GM's directives.

Required Experience:
Knowledge, Skills and Abilities Required
- Minimum of 2 years staffing/scheduling or Administrative experience.
- Exhibit strong leadership qualities and excellent interpersonal skills.
- Willingness to lead by example and take direction.
- Proficiency in verbal and written communication.
- Computer literacy, including knowledge of scheduling software, Microsoft Word, and Excel.
- Ability to adapt positively to change.
- Strong emphasis on customer service.
- Exceptional organizational skills and attention to detail.
- Capability to multitask effectively.
- Outstanding problem-solving and negotiation abilities.
- Must obtain and maintain a Guards License.
Physical Demands of the Job:
While performing the essential functions of the job, the employee constantly operates a computer and other office
devices such telephone and copy/scanning devices. Constantly moves about the venue before, during and after events to service clients and
supervise staff; constantly communicates with a sense of urgency via telephone, email and in-person with others to exchange accurate information.
Psychological Demands:
While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits.
Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3
steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in leadership
roles; this requires directing others either verbally or in writing to complete tasks in prescribed time frames. This position also requires constant use
of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being
able to openly communicate in writing and verbally with clients and HQ.
Working Conditions:
The essential functions of this position are performed both indoors and outdoors. The noise level in the work environment can
range from minimal to loud during events, depending on the location, and minimal during non-event times. Fast paced environment at venue
during event days. Longer hours/days are necessary. Frequently required to work, evenings, weekends and holidays as scheduled.
