Wallwork Truck Center Executive Asst/Receptionist - W.W. Wallwork

JOB SUMMARY

The Executive Assistant/Receptionist position is the first point of contact and the face of the company to customers. This position is for a people friendly personality to greet visitors and transfer incoming calls, perform clerical support in an efficient manner and other duties as assigned. This position will also assist the executive team as requested.

QUALIFICATIONS (minimum requirements)

Education and/or years’ experience required:

· High school diploma or GED required.

· Minimum of three year experience in Executive Assistant and/or Receptionist position.

Preferred/Required Skills and Abilities:

· Experience operating a multi-line switchboard preferred.

· Ability to travel as requested.

· Valid driver’s license with an acceptable driving record required.

· Ability to read and comprehend instructions and information.

· Knowledge of Microsoft Office applications.

· Possess excellent written and verbal communication skills.

· Excellent organizational and multi-tasking skills.

· Excellent customer service, interpersonal and phone etiquette skills.

Supervision of others/decision making aptitude (if applicable):

· No supervision responsibilities required for this position.

ESSENTIAL FUNCTIONS AND ACCOUNTABILITES

· Meet and greet customers in a professional manner.

· Assist President and Vice President with day to day to activities

· Schedule and run errands for President of company

· Organize company events such as holiday parties and employee appreciation events.

· Operate switchboard telephone system and direct calls to the appropriate department/person.

· Maintain office supply inventories.

· General clerical duties including photocopying, fax and mailing.

· Retrieve documents from filing system.

· Handle requests for information and data.

· Stay abreast of staff movements in and out of organization to better direct customers, visitors and/or calls.

· Data entry into business systems and other websites.

· Post credit card transactions and create journal entries.

· Collect, sort and distribute mail.

· Assist departments in general office duties and projects as needed.

· Maintain office supply inventories.

· Adhere to work schedule and maintain regular attendance.

· Performs Wallwork Inc.-wide duties as requested by the designated supervisor.

· Upholds Wallwork Inc. ethical standards and demonstrate the behavioral and service expectations as defined in our policies and procedures.
