Summary of Primary Functions:
Dobbs Equipment is seeking a Warranty Claims Specialist. The Warranty Claims Specialist will be responsible for administrating the warranty claim process to maximize administrative efficiency and return on warranty claims. This position will also provide consultation and training to the service and parts departments on all matters related to warranty.
Essential Functions and Responsibilities:
- Develops and assists in implementing standardized warranty claim processes for all locations including expiring machine warranty, closing open warranty jobs, and submitting warranty extensions, and over the counter parts.
- Monitors equipment records for extended and special warranties for expiration.
- Manages and processes parts and service warranty claims including computation of charges of shop work for all locations.
- Assists with PIP Administration.
- Understands warranty regulations and is able to provide consultation and training to service managers, techs, and Parts Department on the proper way to proceed with a warranty situation.
- Ensures compliance with non-returnable service parts policies.
- Communicates to departmental management about warranty status on a regular basis.
- Finds creative and successful ways to justify payment of warranties to maximize customer satisfaction and to ensure that the customer is receiving “intended value” of the product.
- Holds complete ownership regarding warranty claims and administration with all vendors/manufacturers.
- Ensures claims are filed within stated guidelines, policies, and procedures.
- Follows up on all rejected claims and resubmits as required.
- Maintains Warranty Log.
- Issues Warranty Expiration Notices.
- Reconciles the warranty credits to the correct warranty receivable account on a monthly basis.
- Tracks all warranty activity and creates month end reports.
- Works on a day-to-day basis with all locations in the region regarding warranty issues.
Qualification: The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Valid Drivers License
- Customer Service experience
- Warranty experience
Education, Skill, and/or Experience Requirements:
- Associate degree (A.A.) and 3+ years’ experience with industrial equipment, such as construction or forestry equipment is required. 4-year degree is preferred or equivalent combination of education and experience.
- PC literate, proficient with MS Office, with an emphasis in Excel and Outlook required.
- Ability to communicate effectively with teammates.
- Strong problem-solving skills.
- Excellent time management skills.
- Must be able to self-manage/self-motivate.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
- Ability to write diagnosis and work completed on routine reports and correspondence.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Quick learner with the ability to think out of the box.
Work Environment:

The noise level in the work environment is usually quiet.
