Client Operations Account Maintenance Team Description
The Account Maintenance team is responsible for the operational support, governance, and remediation of new and existing client and account data. The team works closely with internal business partners including Onboarding, Client Services, Bankers, Investors, Supervisory Managers, etc. to facilitate client and account maintenance updates across multiple products and platforms. Serving the Private Bank line of business, individuals in these roles provide subject matter expertise to the front office, client service, and other cross-functional partners.
Suitability/ Specialist Description
The Suitability Specialist will be responsible for performing maintenance on existing brokerage accounts. The primary responsibility of the Hub Specialist is to input data for Suitability and Trading capabilities. Suitability consists of submitting client suitability updates based upon review of client documentation and instructions provided by the client and/or the Investment Teams. Trading capabilities entails the adding or enabling of products/services in order to execute trades per client or internal business partner instruction. The job requires a high degree of discipline, a strong attention to detail and a solid control mindset. The team follows guidelines set by FINRA and the SEC.
Responsibilities
- Review and interpret client executed documentation related to brokerage account maintenance.
- Perform suitability updates/maintenance based on client and/or business partner instructions
- Research client documentation to ensure suitability is documented accurately (FINRA Rule 2111 / SEC 17A3)
- Perform authentication to ensure instructions are provided by authorized account holder/contact
- Identify and prefill documentation for distribution to client for review/execution
- Take ownership to diligently maintain outlined policies and procedures
- Serve as the first line of defense for escalations where needed
- Assist with team projects and initiatives
- Run basic reports (trend analysis, production reports)
- Review metrics and take actions accordingly
- Promote a controls environment to mitigate risk
- Perform verification for work processed by team members to identify/resolve data issues
- Investigate opportunities to reduce costs, provide automation, and analyze fluctuations in key metrics
