We are seeking Workforce Management Analysts to provide DCSA (Defense Counterintelligence and Security Agency) Field Operations with Program and Project Management Support, Administrative Support Services, Professional Administrative Management and Technical Assistance.
The mission of the DCSA is to secure classified and sensitive information and technology within the U.S. industrial base, ensuring the federal and contractor workforce is trusted with such information while preserving military readiness by countering threats to the defense supply chain. DCSA provides security services to the DoD by integrating personnel security policy, industrial security, security training and education, information systems security, and counterintelligence.
DCSA’s Field Operations requires professional administrative management, administrative support and technical assistance to assist DCSA in the execution of the agency’s mission. The qualified candidate will provide all personnel, equipment, supplies, facilities, transportation, tools, materials, supervision, and other items and non-personal services necessary to perform administrative support .
There are four (4) DCSA locations for this initiative. They are as follows: Farmers Branch, TX, Andover, MA, Alexandria, VA and San Diego, CA. An active Secret clearance is required.
Required qualifications/skills:
This role requires advanced computer skills, such as word processing, spreadsheet management, and advanced internet research and data collection, as well as metrics gathering.
Required qualifications/skills:
- Education: a bachelor’s degree or equivalent (at a minimum) and two years of experience relating to the requirements (experience can be substituted in lieu of education)
- Experience: Two plus (2)+ years of relevant administrative and technical support experience relating to the requirements. Additionally, possesses solid oral and written communication skills, as well as a good command of the English language.
- Active Secret security clearance.
- Valid (resident state) driver’s license, clean driving record, ability to maintain an active driver’s license throughout employment.
Responsibilities:
- Coordinate, staff, and assist in the development/revision of Standard Operating Procedures (SOP), policies and memorandums as necessary and appropriate for smooth operation of the program.
- Manage all documentation across all project areas to include ensuring compliance with templates, required content, and staffing procedures.
- Maintain version control and updates of all documentation delivered to the Government.
- Maintain an electronic library where authorized internal and external users may access materials.
- Provide planning and communications support, to include developing the necessary materials and conducting the necessary forums (e.g., briefings, software demonstrations, user workshops, and marketing materials) to increase the awareness and understanding of external users regarding program objectives and strategies.
- Ensure change management communications includes updates from each software build and helpdesk activities.
- Develop and maintain internal and external distribution lists for topics, programs, and projects.
- Develop and maintain virtual team chart and RACI chart for each initiative.
- Design, develop, and maintain SharePoint sites, pages, libraries, lists, and custom components. Implement custom workflows and forms using SharePoint Designer. Integrate SharePoint with other Microsoft 365 tools, platforms, and third-party applications. Ensure seamless data connectivity between SharePoint and other systems using common data services and API integrations Monitor the health and performance of SharePoint sites. Address user queries, troubleshoot issues, and implement fixes promptly.
- Identify products and projects it completed in its Monthly Progress and Status Report IAW CDRL A004.
Personnel are responsible for the following tasks in workforce management support to the regional headquarters:
- Hiring and onboarding of field personnel.
- Monitor group inbox for selection and out-processing notifications and update spreadsheet accordingly.
- Coordinate with hiring manager on details of new recruitment (location, grade, PD). Enter new recruitment in Service Now.
- Track all recruitments on Excel spreadsheet and/or MS Teams.
- Ensure that proper onboarding steps are taken for new employees and resolve any problems in the process.
- Meet weekly with HR Specialist on the status of hiring actions/recruitments. Communicate the status to regional leadership.
- Report any issues with the hiring process to the Workforce Management Lead.
- Work closely with hiring managers throughout the hiring process and respond to email inquiries.
- Create a PowerPoint slide on the status of actions for region.
- Update organization charts in MS PowerPoint
- Requires knowledge of MS Word, Excel, PowerPoint, and Teams.
