Our client, a dynamic, fast-growing tech company based in the heart of San Francisco, is looking for a Workplace Coordinator on a part-time basis. This role will help ensure our office runs smoothly and remains a comfortable, productive environment for our team.
Position Overview:
As the Part-Time Workplace Coordinator, you will be the face of the office and play a key role in maintaining a positive and efficient work environment. This role is essential in supporting our day-to-day office operations, creating an inviting atmosphere for employees and visitors, and ensuring the facilities are well-maintained. You will work closely with the Workplace Manager and various departments to facilitate office needs and help enhance the overall employee experience.
Key Responsibilities:
- Front Desk Management:
- Greet and assist visitors, ensuring a positive first impression.
- Handle incoming and outgoing mail, deliveries, and couriers.
- Maintain office security by following safety procedures and controlling access.
- Office Operations & Maintenance:
- Oversee daily cleanliness and organization of the office (common areas, meeting rooms, kitchen).
- Coordinate with cleaning staff and vendors to ensure regular maintenance and restocking of office supplies.
- Monitor and report any facility issues (e.g., HVAC, lighting, equipment) and arrange for repairs as needed.
- Manage access cards and building security systems for employees and guests.
- Workplace Experience:
- Assist with the setup and breakdown of events, meetings, and company activities.
- Organize and maintain a welcoming and efficient workspace for employees (e.g., furniture arrangements, workstation setup).
- Ensure the office is stocked with snacks, beverages, and other amenities that contribute to employee well-being.
- Vendor & Service Management:
- Liaise with external vendors, such as cleaning services, office supplies, catering, and building management.
- Ensure timely and cost-effective delivery of goods and services.
- Administrative Support:
- Assist with ad-hoc administrative tasks, including document organization, meeting coordination, and invoice processing.
- Support the Office Manager in budgeting for office supplies and facility-related expenses.
Qualifications:
- 2+ years of experience in a similar role (office management, facilities, or hospitality is a plus).
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to multitask and handle a variety of requests in a fast-paced environment.
- Proficiency with Google Workspace (Gmail, Drive, Calendar) and office management tools.
- Knowledge of safety and building regulations is a plus.
Work Hours:
- This is a part-time position with an estimated schedule of 20-25 hours per week.
- Flexibility in working hours is a plus, particularly around events or office needs.
